Manager

Department: Receiving

Reports to: Receiving Manager

Division: Management/All Leadership Team

Status: Exempt, Management

Location: South End/Downtown

Job Summary

Responsible for storewide receiving, this position develops, implements, and monitors storewide receiving policies. This position maintains positive working relationships with internal departments and external vendors using excellent written and verbal communication skills. Collaborate with the Receiving Manager in developing and maintaining department policies and procedures which contribute to storewide goals This position is also responsible for developing and training staff in the receiving functions of SMS, ascertaining correct cost and count of goods for all products and notifying discrepancies to the appropriate teams.

General Accountability

Reporting to the Centralized Receiving Manager, the Assistant Receiving Manager is responsible for providing the highest level of service possible to our customers, vendors, co-workers and community. This position is also required to maintain the highest standards of professionalism and contribute towards a positive work environment that requires the highest standard of personal conduct.

Supervisory Responsibilities

The Assistant Receiving Manager oversees:

* Receiving Team Leads and Receivers

Essential Duties and Responsibilities

* Prepare Receiving dock for incoming deliveries and direct unloading for most efficient use of labor.
* Oversee all deliveries, check to verify piece count, and for obvious damage. Notify appropriate teams of discrepancies.
* Sign for deliveries with appropriate adjustments noted on invoices.
* Sort invoices and route to appropriate departments.
* Check for accurate costs of all products received. Report discrepancies to appropriate department Managers, Buyers, and Purchasing and Merchandising.
* Support departments where credits and returns are expected utilizing the credit tracker.
* Set aside special orders, match product with special order form, along with utilizing the special order tool.
* Contribute to a positive working environment.
* Be proactive with regard to creative self-learning and professional development. Attend all required meetings, trainings, seminars and workshops.
* Follow all department policies and procedures in order for City Market to adhere to all State, Federal and OSHA regulations.
* Support the Co-ops Global Ends, Co-op Principles and Diversity Statement
* Perform other duties as assigned.
* Ensure that department is attractive, clean and that all equipment is well maintained.
* Implement and maintain approved safety and sanitation programs in the department.
* Work with IT department to implement and maintain computers for scanning.
* Ensure that department meets all Health Department and OSHA requirements.
* Oversee the cleaning and maintenance of the loading dock, and back stock areas.
* Ensure that the receiving department is adequately supplied. Maintain supply budget.
* See that unsellable items are properly disposed of according to current City Market policies.
* Determine the need for staffing levels and control labor budget.
* Interview and hire qualified applicants following established policy.
* Develop training guidelines for all new staff within the department, ensuring that all department staff attain adequate on-the-job training. Consider opportunities for cross-training.
* Take disciplinary action as needed following established policies.
* Schedule hours for department staff within budget and approve time sheets.
* Conduct job performance evaluations and provide performance feedback when necessary.
* Encourage and answer all customer suggestions, requests and complaints pertaining to the Receiving Department.
* Ensure that each member in the department maintains the highest standards of courteous, professional customer service and sensitivity to customers needs.
* Promote outstanding internal customer service to ensure approachability and smooth working relations.
* Occasionally work at other locations to support vacation coverage or training
* Foster and maintain friendly and respectful vendor relations. Direct any vendor issues or concerns to the appropriate department manager and Purchasing and Merchandising.
* As member of the All Leadership Team, this position will direct and oversee the work of others by: making decisions that affect workflow and procedures within their department, being involved in group decision making for organizational planning, and implementing immediate and long-range planning as well as tactical and strategic thinking for departmental business needs and personnel development.
* This position is regularly exposed to organization-wide confidential information: including but not limited to: financial, personnel, customer and vendor. A high degree of confidentiality and discretion is required.

Qualifications & Skills

Education & Experience:

* Bachelors degree or equivalent work experience preferred with an emphasis on management in grocery retail or restaurant management.
* Minimum of 2 years grocery store, retail or manufacturing receiving experience.
* Minimum of 2 year supervisory experience.
* Knowledge of natural and conventional foods and the food industry preferred.

Technical Skills:

* Solid understanding of Microsoft Office Suite.
* Experience working with a POS system

Travel Requirements

* This position will occasionally be required to work at other City Market locations for coverage or to attend required meetings, trainings, etc..

Work Environment & Physical Ability

* Noise level is moderate to loud as can be expected in a busy retail environment. May be exposed to various temperature changes and work environment, as well as working around various pieces of equipment. May be required to work in high, precarious places, work near moving mechanical parts, some chemicals and frequent outdoor weather conditions. May be required to work in high, precarious places. Expected to lift up to 50lbs regularly.
