Job Description

JOB TITLE: Catering Administrative Assistant

DEPARTMENT: Catering

SUPERVISOR: Director of Catering

PURPOSE OF POSITION:

To assist the director and the other catering managers with clients and hotel personnel in the handling of catering accounts. To process letters, proposals and contracts accurately and in a timely manner. To answer telephones in accordance with Hilton and Marcus standards. To maintain filing, trace and office services in accordance with normal operation procedures.

ESSENTIAL FUNCTIONS:

1. Promptly answer telephone calls following Hilton standards using clear and positive English communication. Communicate information accurately to managers and disseminate information and facts to relevant accounts and concerned departments.

2. Type correspondence, proposals and contracts as directed by management using typewriters and computers. Process contracts for relevant departments.

3. Distribution of memos, contracts, resumes, room requests and amenities to relevant departments throughout the hotel.

4. Book birthday parties.

5. Copy and fax necessary documentation for clients and hotel use.

6. Perform other duties as assigned.

MANDATORY JOB REQUIREMENTS:

1. Thorough knowledge of Microsoft Word and Excel

2. High degree of accuracy and good knowledge

3. Listen and extend assistance in order to resolve problems.

4. Promptly respond to requests for information on hotel facilities and menus.

5. Maintain filing system. Log pertinent account information in files.

6. Assist the Director of Operations, Director of Catering and Catering Managers with administrative tasks.

7. Grooming standards must be adhered to. Associate must dress in professional business attire.

ACCOUNTABILITY:

1. Ensure guest satisfaction by timely follow up correspondence.

2. Adhere and support hotel and corporate policy and procedures.

3. Maintain accurate administrative files.

4. Be to work every day on time.

EXPERIENCE OR TRAINING REQUIRED:

1. Able to use Microsoft Word and Excel.

2. Fast and accurate typist.

3. Strong multiple - project management skills.

4. Able to answer a multi-line phone system

5. Good communication skills
