Job Description

SUMMARY

The primary functions of the Accounting Assistant include, but are not limited to, assisting in the day to day accounting functions and serving as the front desk receptionist. The candidate should have great attention to detail and accuracy as well as excellent telephone manners and should be organized, pro-active and able to provide a warm and welcoming experience to our visitors and guests.

ESSENTIAL DUTIES AND RESPONSIBILTIES include the following. Other duties may be assigned.

* Accounts Receivable
* Collection calls
* Depositing checks
* Posting checks payments
* Miscellaneous tasks as assigned
* Accounts Payable
* Invoice processing (includes communicating with our vendors and resolving discrepancies between POs and invoices)
* Credit card reconciliation (includes tracking and posting receipts and company charges)
* Miscellaneous tasks as assigned
* Reception
* Greet all visitors and guests and maintain reception area
* Answer phones and direct callers to appropriate parties
* General office administration (includes making travel arrangements, preparing for meetings and company-wide events and purchasing office supplies)
* Assist with special projects and miscellaneous tasks as needed

QUALIFICATIONS

EDUCATION / TRAINING

High school diploma or general education degree (GED)

EXPERIENCE

* One to two years related experience
* Must be computer literate
* Must be able to work well independently
* Must be highly organized and detailed-oriented
* Must have strong interpersonal skills and the ability to communicate with all levels of company

COMMUNICATION SKILLS

Ability to read, analyze and interpret general business and accounting procedures. Ability to compose routine reports and correspondences. Ability to effectively present information and respond to questions from managers, customers, vendors and the general public.

MATH ABILITY

Proficiency with addition, subtraction, multiplication, and division in all units of measure, using whole numbers, common fractions, and decimals. Understanding of basic accounting principles and practices.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of variables. Ability to interpret a variety of instructions furnished in written and oral form.

OTHER SKILLS AND ABILITIES

Individual will have access to customer banking information through domestic and international deposit processing; the individual will need to able to maintain strict confidentiality and attention to detail.

COMPUTER SKILLS

Intermediate skill level with Microsoft Office and general computer proficiency. Ability to work with electronic billing software and documents.

Netsuite

Specific vision abilities for this job include close vision and the ability to adjust focus. Employee may occasionally be required to lift or move up to 10 pounds.
