The Divisional Headquarter Human Resources team is seeking an HR Administrative Assistant. This individual will be responsible for providing clerical and administrative support to the Human Resources department.

* Assists the Director of Human Resources and other human resources staff with clerical and administrative tasks including by not limited to preparing correspondence and documents, scanning, copying, faxing, filing and forwarding documents as needed.
* Assists the Director of Human Resources and other human resources staff with processing of human resource forms by looking up information, checking dates, calculating information, entering into databases or HRIS system.
* Types confidential documents including correspondence, letters, minutes and interview notes.
* Coordinates and ensures vendor payments are processed in a timely manner.
* Assists with the coordination of meetings and schedules. Assists and prepares documents for meetings such as agendas, presentations, etc. Ensures room and refreshments are set up per directives given.
* Assists with projects by assisting with information gathering through email or phone and compilation. Under the direction of human resources staff, gathers, audits and prepares information for professional presentation
* Provides phone coverage and assistance.
* Responds to inquiries in a timely manner.
* Fields Human Resource telephone calls and responds to general HR inquiries, as well as transferring to appropriate staff member
* Replenish various HR documents (packets) in forms drawer and assemble as needed
* Provide backup support for Front Desk to include: mail processing, answering telephone calls, visitor sign-in, and performing other clerical/administrative assignments as requested
* Ensure confidentiality of sensitive employee data ensuring all payroll information, files and records are maintained in accordance with federal, state and local laws and agency requirements
* Demonstrate cultural competence, and support Empire State Division Strategic objectives


* Strong skills in organization, customer service and written / oral communications are required
* Strong computer skills with ability to navigate HRIS system. One year of HRIS system experience preferred.
* Associates degree with three to five years of experience preferred.
* Attention to detail a must.
* Preferred: knowledge and or experience in Human Resources areas: recruiting, employee relations, compensation, benefits, payroll, etc.
