Job DescriptionDuties and Responsibilities:

* Working Weekends is a Requirement.
* Greet visitors in a friendly manner and direct them as needed. Greet residents, family members and visitors when applicable. Have visitors sign in via the guest book. Have residents sign in and out via the guest book.
* Answer phone courteously and direct calls to the appropriate person. If not able to reach, message via text or email with all pertinent information.
* Keep the transportation book. Transfer all appointments to the Driver's Google calendar online. Make sure each request is executed. Make sure driver is informed of schedules, appointment times, destinations, etc. Call driver as residents call in for pick-ups or with any changes in schedule. Coordinate logistics throughout the day to keep on schedule. Coordinate with Sullivan staff for AL resident transportation. Coordinate all prescription pick-ups and/or other errands for residents and management team with the driver as needed. Manage the Sunday Service Transportation log. Print transportation schedule for following day and give to driver.
* Revise resident directories as needed. Make sure all emergency contact information is current. Email all updated documents/lists to Administrative Employees.

* Responsible for completing and collecting all items on new hire checklist (Drug screen, background, fingerprints, random drug screens, new hire paperwork)
* Take maintenance requests from residents, staff and employees. Assist maintenance by prioritizing request. Contact maintenance immediately for high priority items. (Heat, AC, fire, flood, hot water, etc.)
* Prepare Independent Living and Assisted Living marketing brochures for marketing purposes. Notify Executive Director as supplies are needed for reorder.
* Complete Menu counts and dinner counts for Teem
* Assume on-call rotation as a responsibility. Manage emergencies; medical, staffing, etc. Respond to resident needs.
* Back up for Time Forge, Checkbook, Petty Cash and Deposits.
* Back up for Move Ins.
* Move In - Move Out Report is to be sent out daily by 4:30pm. Approval and review from Arthur (Executive Director) before emailing to Move In-Move Out contacts
* Manage Pest Control Log as needed.
* Maintain and update Resident Telephone Directory as needed
* Special event mail-outs
* Other duties as assigned.
