Summary: The primary responsibility of the Administrative Assistant is to assist the Homeowners Association, its Members, Management Company, On-site Staff and Board of Directors in the operation and administration of the community by having the expertise to handle many of the tasks that are specialized to the Association. It is the responsibility of the Administrative Assistant to be completely familiar with the HMI agreement so that the property and Hammersmith are represented in accordance with all the terms and agreements established within the contract.

Location: Zephyr Mountain Lodge - 201 Zephyr Way, Winter Park, CO 80482

Schedule: Saturday to Monday, 8:30AM to 4:30PM

Key Qualifications:

·         To assist the Community Association Manager, On-site staff and Board of Directors in day-to-day management and administrative duties.

·         Effectively handle calls, request, rule violations or complaints from homeowners or residents.

·         Interacts with all staff, vendors and owners as necessary and required

·         Ability to update and maintain operational systems.

·         Accept packages, maintain logs and notify residents.

·         Control access to and track usage of copier/fax by residents for effective billing.

·         Have the ability to monitor operational processes and report to manager effectiveness of administrative systems.

·         Assist in preparing for meetings and attend meetings as needed.

·         Gain a full understanding of and become effective in the use of the HMI software applications. Data entry of all appropriate client activities

·         Maintain organized office files, updated residents directory, and work orders.

·         Assist in scheduling and log water shut offs.

·         Update & maintain homeowner record-deeds, alterations, parking, storage documents

·         Delivery of messages and all documentation

·         Maintain all bulletin boards and elevator postings

·         Be familiar with and able to carry out and enforce all building rules, regulations and safety procedures.

·         Any other duties assigned by the Community Association Manager as directed by the Board of Directors that assist in the effective management of the Association.

Experience and Skills

Education and Experience:

·         Previous customer service, administrative or reception area experience

·         High School Diploma or equivalent

·         Proficient in use of P.C and Windows environment

Skill and Additional Requirements:

·         Professional in appearance and presentation, adhere to professional dress code

·         Provide exceptional customer service at all times

·         Excellent and effective communication skills written, verbal and listening

·         Ability to prioritize and handle multiple assignments
