Job Title: School Age Child Care Coordinator

FLSA Status: Exempt EEO Job Status Code: 1

Reports to: Youth Development Director of School Age Child Care Job Location: West

Classification: Full-time


Under the direction of Youth Development Director of School Age Child Care, the School Age Child Care Coordinator assists in all areas of child care. This position develops, organizes and implements high quality YMCA child care program(s) in accordance with the YMCA mission, strategic plan, goals and all policies and procedures of the YMCA of Dane County, Inc. and when applies, accreditation standards of the City of Madison and YoungStar, licensing standards of the State of Wisconsin, and the YUSA Child Care Best Practices. This person serves as the onsite Camp Director during the summer months.


Child Care Center Director, SACC Lead Teacher, SACC Assistant Teacher, Camp Counselor, Intern, Volunteer


* Assists with management, direction and coordination of the Child Care Department for assigned location(s). Ensures high quality and safe programs and establishes new program activities. Expands program with a focus on community needs in accordance with strategic and operating plans.

* Assists with recruiting, hiring, training, managing, developing, coaching, scheduling and directing employees and volunteers as needed. Reviews and evaluates employee and volunteer performance. Develops strategies to motivate employees and achieve goals.

* Assist with the annual budgeting process; specifically, budget(s) for SACC, day camp and Schools Out for approval by supervisor. Ensures assigned programs operate within budget and follows budgeting policies and procedures.

* Performs site visits to assure compliance with accreditation, licensing, Youngstar and YMCA program standards when applicable. Ensures safety, quality and consistency.

* Assists in coordinating departmental staff meetings and trainings with other Child Care management staff; includes planning, setting up, facilitating, cleaning up, etc.

* Develops and maintains daily/weekly/monthly activity schedules; communicates plans and any updates with Child Care Program Director and other staff involved. Ensures that program lesson plans are being complete for assigned locations(s).

* Assist with coordinating snack/supplies for designated programs; maintains, organizes, orders, schedules repairs, etc.

* Maintains child files and staff licensing files for children/employees in designated programs; ensures all training, licensing and accreditation requirements are met.

* Increases member retention through creating personalized member experiences and positive relationships with and among members, staff, volunteers and/or guests. Creates a supportive and uplifting community environment.

* Coordinates and ensures safe and effective use of facility/program space. Provides for upkeep of assigned program facilities and equipment and ensures the physical environment supports healthy living.

* Develops and maintains collaborative relationships with state child care licensing agency, city accreditation, school administration, parent groups,site staff and other organizations and agencies related to assigned programs. Responds to all agency, parent, staff and community inquiries and complaints in a timely manner.

* Supports, participates and promotes employee, volunteer and member engagement in the Annual Support Campaign and other fundraising activities.

* Covers open program shifts due to emergencies, vacancies, or scheduled staff vacations and ensures that all staff substitution shifts are filled and documented.

* Maintains regular communication with Child Care Program Director regarding SACC and Camp program planning and operations, as well as staff recognition or issues.

* Participates as required in rotation of Manager On Duty shifts. Remains well versed in Y programs, policies and special events.

* Actively participates and/or serves in a leadership role for identified Association and Branch activities and special events.

* Follows all policies and procedures as set forth in the YMCA of Dane County Employee Handbook and Code of Conduct.

* Performs other duties as requested.

Has the functional and technical knowledge and skills required to perform well; uses best practices and demonstrates up-to-date knowledge and skills in technology.


* Must be at least 21 years of age.

* Bachelor's degree in Elementary Education, Recreation, Physical Education or a related field required.

* Must obtain Registry Level 12 or higher within six months of start date.

* Must be qualified as a Lead Teacher and Center Director for programs of 50 or fewer children by Wisconsin State Licensing requirements.

* At least one year related experience in administration and staff supervision is required.

* At least one year experience in licensed child care or early childhood education as a teacher.

* Knowledge of general child growth and development, learning theories, and developmentally appropriate activities for children required.

* Knowledge of state licensing rules and requirements required.

* Must demonstrate initiative, strong leadership skills, and have ability and experience providing guidance to staff with a variety of educational and experiential backgrounds.

* Ability to work independently with general supervision, as well as part of a team.

* Must possess reliable transportation for travel when required.

* Effective verbal and written communication skills required.

* Must possess and maintain within the indicated timeframe:
* CPR/AED and First Aid training within 30 days of start date.

* YOrientation, Child Abuse Prevention and Bloodborne Pathogens training within 60 days of start date.


* Requires sufficient strength, agility and mobility to perform essential functions of position and to safely supervise child care activities both indoors and outdoors.

* Requires the ability to perform all physical aspects of the position, including the ability to sit or stand for extended periods of times, repetitive actions, cardiovascular exertion, performing and maintaining aerobic exercise, full body movement (bending, kneeling, stretching, reaching, jumping, jogging, dancing, etc.)

* A physical exam report and TB test must be completed and on file within two weeks of start date.

* Requires the ability to organize, prioritize and manage tasks without direct supervision.

* Work may be completed in an office setting and may include the frequent use of a computer and other office machinery.

* May require the ability to lift, carry, and load equipment, furnishings and program supplies up to 50lbs.

* Work requires the ability to travel to and from various locations.


* A positive, safe atmosphere that promotes member and participant engagement results in a high satisfaction rate as determined by written and verbal comments and evaluations.

* There is evidence of good administrative skills resulting in a competent rating as determined through performance reviews.

* Annual Child Care Department goals are met, YMCA Best Practices are met at an exceptional level, Child Care accreditation and licensing guidelines and requirements are met, and child care sites are in full compliance.
