Job Description

Reporting to the Senior Manager of Administrative Operations, the Administrative Assistant, Major Gifts, provides a wide range of complex administrative support to members of the Major Gifts team; including the Director, Deputy Directors, Gift Officers, Senior Manager, Program Manager and/or Program Coordinators. In addition to the principal responsibilities outlined below, the Administrative Assistant also has the following duties: assists with the preparation of reports, proposals, briefings, and other outgoing materials; coordinates and produces regular mailings, frequently using mail merge and group e-mail; drafts general correspondence and adapts existing model letters to specific needs; makes travel arrangements, prepares travel itineraries and performs other travel related administrative tasks; prepares expense reports; runs reports utilizing the University's alumni/development information systems; uses queries on Development's Hopper/Blackbaud CRM database and extracts relevant data subsets; takes existing information and creates and manipulates reports including complex Excel reports; compiles and gathers data; prepares and codes reports which may include statistical information; updates prospect and donor information in the database; records, processes, and disseminates gift information as appropriate; researches donor and gift questions, including securing back-up documentation from files/electronic database; schedules and coordinates internal and external meetings and conference calls; contacts donors/alumni as requested by gift officers; provides information to donors when appropriate; greets donors and visitors to the office; maintains prospect files, documents to central files and electronic chronological files; assists with administrative tasks related to event planning; completes all administrative tasks related to briefings, and as needed, assists in preparation of briefings; maintains confidentiality of information contained in proposals to, and conversations with and about, donors; and performs other clerical work as needed, including backing up other assistants and teams during absences, vacations, and as requested due to workload considerations.
