Job Description

Wiss, Janney, Elstner Associates, Inc. (WJE) relies on the talent and dedication of our administrative staff to deliver project and operations support that meet the demands of a fast-paced work environment. From providing technical assistance on projects, contributing to the development and management of the unit, or collaborating on new marketing initiatives, an administrative career at WJE can take many forms. Administrative professionals will work closely with our engineers on some of the most exciting and innovative projects in the industry.

As a project administrative professional at WJE, you'll serve an integral role in the dynamics of our team and in the success of our business. We seek committed, enthusiastic, and versatile people who will actively contribute and engage in the future of the company.

We have an opportunity for a highly motivated project administrative associate to join our team in International Operations and our Structures I unit in Northbrook, Illinois. The combined groups currently have approximately fifteen billable professionals and one part-time administrative associate who are involved in all aspects of WJE's international and domestic work.

Requirements:

* College degree (English, Communication, Marketing, Business, or similar a plus) or relevant work experience preferably in a copy editor position or in a construction-related, accounting, or law office environment
* Demonstrated experience in the preparation of technical reports
* Excellent customer service and interpersonal skills
* Ability to collaborate with administrative and project associates to prioritize work and meet project deadlines
* Excellent attention to detail resulting in high-quality work product
* Advanced written and oral communication skills
* Ability to multi-task and work effectively with minimal supervision (proactive)
* Ability to work well with diverse professionals at all seniority levels
* Ability to maintain confidentiality of sensitive information
* Previous experience with Deltek Vision database software a plus

Essential Project Support functions:

* Compiles, manages, and updates personnel and project information as needed for the preparation of proposals
* Assists in the development of proposals, reports, and presentations
* Coordinates and maintains project records throughout the duration of projects
* Assists Project Managers with accounting functions, including utilizing the Deltek Vision database to generate draft invoices for review and performing conflict checks
* Reviews invoices on assigned projects and works with accounting personnel to provide back-up documentation in accordance with client requirements

Essential Administrative functions:

* Independently manages office-related projects
* Prepares and proof reads draft documents for internal and external distribution
* Advanced user of MS Outlook, Word, Excel, PowerPoint, Adobe Acrobat, and ACDSee
* Answers incoming calls and addresses client inquiries appropriately
* Processes outgoing electronic documents and packages
* Assists with copying, filing, and assembling documents

* This position requires visual acuity and listening ability
* Individuals must have finger dexterity to be able to operate office equipment such as computer, printer, copier, telephone, and other office equipment
* Position requires the ability to remain for extended periods at a workstation, as well as the ability to lift 25 pounds
