GSE Admissions Program Assistant

Reports to the Assistant Director of Graduate Studies in Education (GSE) and has primary responsibility for contacting prospective students for the purpose of recruitment and
admissions. Coordinates special projects; tracks adjunct contracts. Background check, statement of Christian faith required.

Responsibilities And Related Duties:

A. Serve as data support person:
a. Maintain knowledge of the various functions, policies and procedures of the Graduate Studies in Education office and the university;
b. Provide support and information for CRM database, as needed for GSE Admissions
c. Answer questions of prospective students in office and by phone and route calls as required;
d. Attend meetings and establish technology systems that expedite procedures;
e. Collaborates with office personnel across campus in support of student issues as needed;
f. Maintain a manual of procedures pertaining to all data support duties.
B. Provide recruitment and admissions functions for GSE and MIT, including:
a. Answer phone calls from prospective students and email inquiries for all GSE and MIT programs, researching questions and ensuring timely response;
b. Enter data into a CRM database, ensuring accuracy of information throughout communication flow;
c. Make appointments with appropriate GSE/MIT personnel for prospective students;
d. Assist with coordinating prospective student interview process for GSE;
e. Prepare and mail letters of admission for GSE;
f. Assist Assistant Director of GSE to update and maintain admissions communication flow;
g. Maintain a manual of procedures pertaining to coordinating recruitment and admissions;
C. Contracts and Payments:
a. Submit payments for review boards and honorarium payments for GSE;
b. Initiates, types and tracks adjunct and supplemental contracts for GSE;
c. Prepares compensation requests for payment of supervisors of practicum, internships and other GSE projects as needed;
d. Enters adjunct/supplemental/personal service contract and course data into SharePoint each term for GSE;
e. Maintain a manual of procedures pertaining to contracts and payments for GSE;

Qualifications, Skills And Abilities:

High school graduate or general educational development required; University experience desirable.
Three years of closely related work experience required (an equivalent combination of education and experience may be considered).
Computer proficiency in Word, Excel and experience with a CRM database.
Successful service in a highly confidential service-oriented work environment.
Effective organizational, analytical, verbal and written (grammar, punctuation, proofreading) communication and interpersonal skills.
Willingness and ability to learn new tasks.
The ability to work independently and as a member of a team.
The ability to maintain sensitive and confidential information.
The demonstrated ability to establish and maintain positive working relationship with faculty, staff, students and the public.
A personal commitment to the Christian faith.
Demonstrated awareness and commitment to effectively establishing relationships and positive communications across multiple dimensions of diversity including, but not limited to race, gender, physical limitations, class or religious perspectives.
