Job Description

Payroll Officer I

This positions reports to the Payroll Officer II and is responsible for assisting in all areas of payroll preparation, reconciliation, distribution, filing, accounting, and internal and external reporting with an emphasis on confidentiality, accuracy, timeliness and customer service. A commitment to the Christian faith and background check required.

Responsibilities and related duties:

1. Payroll processing:

  • a. Functions as the primary contact for the student payrolls and back up for staff payrolls.
  • b. Audit and process timecard data in accordance with University time and attendance policies.
  • c. Prepare and call in tax payments and upload of payroll bank files.
  • d. Ensure compliance of Fair Labor regulations as they pertain to payroll processing.
  • e. Review office processes and recommend improvements.
  • f. Ensure compliance with new relevant state and/or federal regulations.
  • g. Assist Career Services with student employees/supervisor training.
  • h. Process paper timecards, checks and W-2 forms supply orders.

2. Provide assistance and backup for General Ledger and accounting services:

  • a. Process all direct deposit and W4 forms for employees.
  • b. Reconcile work-study activity to the general ledger.
  • c. Alternate with Payroll Officer II in reconciling payroll liabilities to the general ledger.
  • d. Alternate and Reconcile and process benefits invoices.
  • e. Assist in preparation, testing support and explanation of annual payroll audit schedules.
  • f. Analyze new regulations and resulting challenges and provide solutions.
  • 3. Provide assistance and backup for Federal and State Taxes and Reports:
  • a. Prepare quarterly 941 reports (alternate quarters with Payroll Officer II).
  • b. Assist in the processing of year-end W2s.
  • c. Ensure compliance of regulations pertaining to payroll and Non Resident Aliens.
  • d. Assist in the preparation of quarterly unemployment and state industrial reports.
  • e. Prepare and file Labor Statistics reports.

4. Customer service:

  • a. Respond to faculty, staff and student’s questions and concerns.
  • b. Communicate to employees effects of changes in regulations.

5. Other duties as assigned 

Qualifications, skills and abilities:

  • Bachelor’s degree and three years of directly related experience or an equivalent combination of education and experience.
  • Demonstrated effective oral and written communication skills.
  • Effective interpersonal and organization skills.
  • Demonstrated experience/proficiency in word processing, electronic spreadsheets and use of database management.
  • Ability to work with confidential information.
  • Availability to work extended hours when needed.
  • Ability to meet the physical requirements of the position.
  • The ability to work effectively as part of a team and to establish and maintain good working relationships with faculty, staff and students.
