ADMINISTRATIVE SECRETARY

Under direction, to perform difficult and responsible secretarial and clerical work; to relieve the assigned administrator of responsible administrative detail; to participate in planning, organizing, and scheduling the clerical operations related to the assigned responsibilities; to serve as an authoritative resource to staff of the unit; and to perform related work as required.

ESSENTIAL DUTIES

The tasks listed in this section are representative of duties assigned to positions in this class. * Compose and type correspondence from notes, rough drafts, or verbal instructions;
* Monitor budget and state mandated costs for reimbursement; prepare and maintain up-to-date logs of budget expenditures and account balances for the assigned programs and state mandated costs for reimbursement; initiate purchase order requisitions;
* Collect statistical data and backup material and consolidate preparation of statistical, financial, and administrative reports; complete survey forms; maintain departmental employee time records;
* Make conference registration, travel and hotel arrangements. Screen and refer callers to other individuals, as appropriate;
* Provide information to administrators, other employees, students, parents and the public as necessary;
* Collect, prepare and assemble Board agenda items, assuring the inclusion of required backup material;
* Open, sort, and route mail;
* Order, receive, inventory, store and distribute office supplies and forms;
* Prepare and revise a variety of documents, reports, catalogs, and other materials;
* Organize and compile reports which require use of independent judgment;
* Perform related work as assigned.

QUALIFICATIONS

Knowledge of:

* School district organization, operations, policies, and objectives;
* Modern office practices, procedures, and equipment;
* Telephone techniques and etiquette;
* Record keeping techniques;
* Budget administration;
* Correct English usage, grammar, spelling, punctuation, and vocabulary at an advanced level;
* Public and customer relations principles and practices;
* Business mathematics;
* Computer terminal and computer operations.

Ability to:

* Plan and organize the flow of work in an administrative office;
* Work independently with little direction;
* Type or keyboard at 50 words per minute net from clear copy;
* Compose independently or from oral instructions, letters, memos, bulletins or other material;
* Operate computer and ancillary equipment in the application of a variety of software packages;
* Operate various office machines such as fax machine, calculator, and copy machine;
* Maintain records and prepare reports;
* Maintain a variety of filing systems;
* Make arithmetic calculations with speed and accuracy;
* Plan and organize work to meet schedules and time lines;
* Work confidentially with discretion;
* Communicate effectively both orally and in writing;
* Complete work with many interruptions;
* Understand and carry out oral and written instructions;
* Establish and maintain an effective working relationship with those contacted in the course of work.

PHYSICAL DEMANDS

The physical requirements indicated below are examples of the physical aspects that this position classification must perform in carrying out essential job functions.

* Persons performing service in this position classification will exert 10 to 20 pounds of force frequently to lift, carry, push, pull, or otherwise move objects.
* This type of work involves sitting most of the time, but may involve walking or standing for brief periods.
* Perceiving the nature of sound, near and far vision, depth perception, providing oral information, the manual dexterity to operate business related equipment, and handle and work with various materials and objects are important aspects of this job.

EXPERIENCE AND

EDUCATION

A high school diploma or equivalent and any combination of experience and training that would likely provide the required knowledge and skill is qualifying. A typical way to obtain the required knowledge and skill would be:

* Two years of experience performing varied general office and clerical functions preferably at a school site or district office department.

Education:

* High school diploma or equivalent, including or supplemented by training or coursework in office practices and computer programs.
* Pass District proficiency exam
