Overview

The Associate Director of The Office of Events oversees and is responsible for the successful operation of the Coordination Teams and Central Reservations Office within the department of The Office of Events. This position directly oversees the hiring, training, process development and empowerment of the Conference Management, Youth Programs, On-Campus Events, and Central Reservations teams ensuring that USU events “Exceed Expectations”.

 

This position acts as a brand ambassador for the Office of Events and Utah State University and represents service providers, clients and partners across the campus community while building and fostering relationships in accordance with the Mission, Vision and Strategic Direction of the University.

 

Reporting and Supervisory Responsibilities: The Associate Director reports to the Director of The Office of Events. This classification supervises full, part-time, and/or student employees.

Responsibilities

  • Manages the coordination teams including Conferencing, Youth Programs, and On-Campus Event teams as well as Central Reservations Office personnel, including hiring, training, scheduling, disciplinary functions, and all associated duties.
  • Builds and fosters the Office of Events brand as well as that of all relevant campus service providers, partners, stakeholders and public with the goal of a “One Stop Shop” relationship for all events and clients.
  • Develops, evaluates, implements and maintains processes and procedures including data analytics, goal setting, and improvement metrics.
  • Oversees, tracks and ensures professional development for compliance trainings and certifications for all coordination teams.
  • Oversees successful operations of all events for the Office of the President.
  • Collaborates in the development of the annual budgets. Develops and administers team budgets including review and/or approval of expenditures and purchases and financial operations within Coordination Teams.
  • Represents The Office of Events and USU by participating on committees as needed.
  • Ensures accuracy and presentation of client contracts and legal documentation.
  • Performs other duties as assigned.

Qualifications

Minimum Qualifications:

  • Nine years of related experience; OR a Bachelor’s degree plus five years of related experience; OR an equivalent combination of education and experience.
  • Supervisory experience.
  • Ability to work a non-traditional schedule, including some evenings and weekends. Some travel may be required.

Preferred Qualifications:

  • Experience with Conference Management systems and processes
  • Experience with Higher Education
  • Bachelor’s degree in related field
  • Experience with any or all of the following software:
  • EMS software
  • Coursedog software
  • Cvent software
  • Social Tables software

Knowledge, Skills, and Abilities:

  • Excellent customer service skills.
  • Excellent communication skills both written and verbal.
  • Ability to train and supervise employees.
  • Experience in leading a large, fast paced team with complex processes.
  • Skilled in developing and implementing processes, strategies and procedures.
  • Competency in fostering teamwork and partnerships across a wide range of teams and service providers.
  • Knowledge of laws, regulations, codes, methods, and techniques in area of events and customer service
  • Ability to monitor, maintain and improve quality control standards.
  • Skilled in the use of computers and software applications, including Word and Excel.
  • Ability to analyze and interpret financial data and prepare reports, statements, and/or projections.

Advertised Salary

Minimum $65,000; Commensurate with experience, plus excellent benefits
