Job Description

Administrative Assistant

The U.S. District Court is currently recruiting for a Administrative Assistant. The incumbent will be responsible for the following:

• Manages incoming sealed documents, ensuring conformity with appropriate rules, practices and/or court requirements. Distributes copies of sealed documents pursuant to court orders. Manages and oversees the unsealing of documents ensuring compliance with court orders and requirements. Prepares sealed magistrate cases for destruction as per their disposition schedule outlines. Prepares sealed criminal cases for storage at the FRC. In depth CM/ECF knowledge is required to complete tasks as outlined above.
• Verifies that attorneys who have applied to be admitted to the Federal Court are in good standing with the State Bar. Acts as back up to attorney admissions clerk to set logins and passwords and change information in CM/ECF.
• Participates with Chief Deputy of Administration, Procurement, Administrative Law Clerk to the Chief Judge and other designated chambers staff members in designing, editing and distributing the Annual Reports.
• Screens in-coming communications (via telephone, voice mail, email, fax, verbal) and personal visitors. Maintains the confidentiality of sensitive matters. Serves as liaison to judges, chambers staff and all other court support units, as well as the Administrative Office and the Federal Judicial Center.
• Establishes and maintains subject matter files pertaining to administrative offices including certain reference materials, general orders and local rules. Updates files and disposes of materials as necessary.
• Receives and reviews incoming powers of attorney to determine conformity with appropriate rules, practices and/or court requirements.
• Schedules courtrooms and assists with logistical arrangements for visiting judges. Schedules Clerk's Office conference room use. Arranges meetings or other events. Prepares agendas and other materials for meetings and conferences.
• Arranges for the most economical travel and lodging for the unit executive and, when requested, professional staff. Prepares travel payment vouchers in accordance with existing policies and regulations.
• Operates office computer hardware and software (including, but not limited to, word processing, organizer and spreadsheet software), as well as other office machinery, such as photocopy machines, facsimile equipment, binding equipment, and the like, as required.
• Other duties as assigned.

Must
Must have two years of specialized experience, including at least one year equivalent to work at the CL-25; or Completion of the requirements for a bachelor’s degree from an accredited college or university . Salary is $50,465 - $63,077 DOE w/ full benefits.
