Job Description

The position provides general administrative support for the Pharmacy Service leadership team in support of the service"s mission. Your duties may include, but are not limited to, the following:

  • Serves as the primary reception employee and the first point of contact for walk-ins and scheduled visitors and independently handles issues that may arise.
  • Answers telephone and direct calls and messages to appropriate personnel or section.
  • Sorts and appropriately routes incoming mail and assists and educates employees with mail processes and procedures.
  • Develops and manages a system to ensure appropriate levels of supply items for Pharmacy Service (office supplies, printer cartridges, etc...) are maintained.
  • Schedules meetings, reserve conference rooms, and set up conference calls as requested by Pharmacy Service leadership.
  • Independently prepares correspondence, memoranda, station memoranda, internal policies, protocols, and standard operating policies in final format.
  • Keeps appropriate staff aware of reporting deadlines and suspense date items.
  • Maintains database for tracking action items from all facility committee meetings.
  • Assists with interview process by setting up telephone, face-to-face, or videoconference interviews.
  • Assists the Administrative Officer and Program Assistant with quality assurance/quality improvement initiatives.

Work Schedule: 1st Shift 8:00 am to 4:30 pm

Specialized Experience:

For the GS-05 grade level: Applicants must have one (1) year of specialized experience equivalent to at least the next lower grade level (GS-04) in the normal line of progression for the occupation in the organization. Examples of specialized experience may include:

  • Maintaining and creating point of contacts within the Organization and externally to accomplish position duties and responsibilities.
  • Selecting , adapting, or applying the most suitable practice, procedure, etc... for completing tasks, handling issues, or recommending change.
  • Providing general administrative support for the Service leadership team in support of the service"s mission.
  • Planning and carrying out assignments to not only maintain, but also improving efficiency of Service programs and administrative requirements.
  • Establishing methods, practices, and criteria for identifying, studying, and recommending solutions for resolving problems, answering questions, and improving efficiency.
  • Supporting and coordinating activities of the Service such as the exchanging of information, scheduling meetings, appointments, and customer service.

OR

Completion of 4 years of education above high school level in any field for which high school graduation or the equivalent is the normal prerequisite is creditable. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university. (TRANSCRIPT REQUIRED).

A transcript must be submitted with your application if you are basing all or part of your qualifications on education.

For the GS-06 grade level: Applicants must have one (1) year of specialized experience equivalent to at least the next lower grade level (GS-05) in the normal line of progression for the occupation in the organization. Examples of specialized experience may include:

  • Maintaining and creating point of contacts within the Organization and externally to accomplish position duties and responsibilities.
  • Selecting , adapting, or applying the most suitable practice, procedure, etc... for completing tasks, handling issues, or recommending change.

PREFERRED EXPERIENCE:

Microsoft Office experience preferred

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Physical Requirements: The position requires sitting, walking, standing, bending, and carrying light to moderate items such as full file boxes.

Time-in-grade: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements. For a GS-05 position you must have served 52 weeks at the GS-04 level. For a GS-06 position you must have served 52 weeks at the GS-05 level.

About U.S. Department of Veterans Affairs

To be eligibile candidates must: 

  • have graduated with a baccalaureate degree from a school of professional nursing approved by the appropriate State-accrediting agency and accredited by one of the following accrediting bodies at the time the program was completed by the applicant: The Accreditation Commission for Education in Nursing (ACEN) or The Commission on Collegiate Nursing Education (CCNE). 

  • have successfully passed the NCLEX-RN exam and hold an active, unrestricted license by the start of the program, but have no RN experience.
