Job Description

This is a vacancy announcement for Advance Medical Support Assistants at the Hunter Holmes McGuire Veterans Affairs Medical Center in Richmond, Virginia. Incumbents will support and serve in Medical Service of the Richmond Facility as an Advanced Medical Support Assistant in Specialty Area Clinics. Incumbent duties include, but are not limited to:

* Serves as the initial point-of-contact for all questions, information and problem resolution in the areas of patient appointing, ordering supplies, patient travel, files management, correspondence preparation, time and attendance, and office automation systems - i.e, VISTA and CPRS, and serve as initial contact for inquiries regarding VAMC processes and procedures.

* Participates in program planning support work such as making recommendations regarding inefficiencies ordering supplies, and inventory tracking.

* Uses an electronic appointment system, calendar or spreadsheet software to schedule appoints and meeting by blocking appointment; transmits and receives documents and messages electronically.

* Responsible for ordering supplies and equipment at the request of the Supervisor or Lead Medical Support Assistant.

* Uses a high degree of tact and diplomacy when dealing with patients and families.

* Arranges schedules for vendors and technical representatives.

* Prepares graphics, photos/slides, and creates tables and graphs based on statistical data for use in presentations at meetings, workshops and conferences.

* Calls to schedule appointments and cancel appointments. Phoning and interacting with the staff from other departments within this facility i.e. supply, fiscal, property management, bio-medical, medical, nursing, engineering, payroll, travel, and surgical.

* Serve in assigned Specialty Area Clinics.

* Ensures veteran demographic and insures information is current and accurate by interviewing the patient or kin at check-in and determines eligibility for travel payments and insurance information.

* Completes appropriate forms and directs patient to health benefits, if required.

* Obtains appropriate patient forms and scans medical documentation into the patient"s chart.

Work schedule:Mondays through Fridays (Hours may vary between 7am to 6pm)

GRADE DETERMINATIONS: GS-6

EXPERIENCE: One (1) year of experience that equipped you with the knowledge, skills and abilities to successfully perform the duties of the position. To be creditable, the experience must have been equivalent to the GS-5 Medical Support Assistant as per the Qualifications Standards in Federal service. Examples of qualifying experience includes, providing administrative support, problem resolution in the areas of patient appointing, ordering supplies, patient travel, files management, correspondence preparation, time and attendance, office automation, obtaining statistical data from published reports and manipulating data to produce tables and charts for program management and administrative use.

NOTE: Evidence of specialized experience must be supported by detailed documentation on your resume.

Applicant must demonstrate the following Skills, Knowledges and Abilities identified in the Task Statements:

1. Ability to collaborate, communicate, set priorities, and organize the work in order to meet deadlines, ensuring compliance with established processes, policies and regulations.

2. Ability to communicate tactfully and effectively, both orally and in writing, in order to meet program objectives. This may include preparing reports in various formats and presenting data to various organizational levels.

3. Advanced knowledge of the technical health care process as it relates to access to care.

4. Advanced knowledge of managing a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

5. Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process.

6. Advance knowledge of medical terminology due to the technical nature of language utilized by clinicians.

PHYSICAL REQUIREMENTS: The work is generally sedentary. Typically, the incumbent sits comfortably to do the work however there may be some walking, standing, bending, carrying of light items such as paper, books or small parts. No special physical demands are required to do the work.
