Full Time 40 hours Grade 051 Clinical & Social Psychology

Schedule

9AM-5:30PM; POSS WKENDS

Responsibilities

General Purpose:

With autonomy and exercising independent judgment, manages and represents department and serves as the administrative agent of the Department Chair of Clinical & Social Sciences in Psychology (CSP).

Specific Responsibilities:

Personnel Administration

* Supervises administrative staff to include hiring, training, day-to-day management, evaluating and facilitating conflict resolution.
* Performance management, including assessment of staff.
* Strategic planning relating to department's ever-growing requirements and allocation of staff. Creates and manages database for department's employee information.
* Prepares and approves personnel forms for department, and reviews and approves forms for sub-department.
* Approves all payrolls.
* Interprets personnel policies and payroll procedures to faculty, staff and students.
* Hires and advises Lab Managers, Research Assistants, and Sr. Accountant, not directly in my supervision, and advises their supervisors in evaluations, compensation and other personnel matters.
* Researches solutions to personnel problems and executes these solutions.
* Oversees confidentiality and security practices within department.
* Oversees annual Wage & Salary program.
* Investigates faculty issues for Chair.
* Guides Department and Department's off-site Administrators and Sr. Research Associates with HR issues and interpreting HR policies.

General

* Reviews budget for departmental accounts, with decision-making authority to allow expensing of financial resources.
* Determines capital planning needs and administers capital budget.
* Works with Chair and Sr. Accountant on strategies to decrease expenses.
* Creates adjunct budget.
* Coordinates maintenance of departmental accounts, including review and approval of Employee Expense Reports, petty cash, invoices, and all payrolls.
* Enforces guidelines for department expenditures and advises on grant expenditures in Sr. Accountant's absence.
* Maintains University's C.L.A.S.P. certification.
* Advises Sr. Accountant as needed.
* Orients graduate students to administrative matters and allocating resources.
* Assigns graduate TAs for Fall and Spring semesters relating to departmental support.
* Hires graduate students for summer courses, proctoring, etc., and oversees payroll issues. Interprets departmental policy to graduate and undergraduate students.
* Coordinates department's visiting scholars' and visiting students' acquisition of visa.
* Guides Psychology Undergraduate Council on purchasing issues.
* Consults on maintenance of department website.
* Employing independent decision-making, administers space utilization, including assignment of space (offices and labs).
* Purchases furniture.
* Collaborates in determining and approving equipment needs for department.
* Liaison to Deans' Offices, Purchasing, Facilities, Telecommunications, Security, Events and other University departments and external organizations.

Manages and oversees all special functions, including but not limited to:

* Psychology's Commencement - Diploma Ceremony and Reception
* Departmental Colloquia
* Faculty Recruitment - Tenure-Track and Non-Tenure Track (including administration of FORT 2) Departmental Parties
* Memorial Services

Implements new procedures and projects.

Special projects for Chair, including but not limited to:

* Compiling and analyzing department statistics for internal and external reports
* Faculty Promotions

Requirements:

Bachelor's degree or an equivalent combination of experience and training. 1 year of relevant administrative experience. Prefer 3 years of related work experience including at least 2 years in an administrative capacity in an academic office or project management, or the equivalent experience in a business office.
