Job Summary

Provides administrative assistance to the Associate Provost for Career and Professional Development and the Career Development and Professional Connections Leadership team assisting in a wide range of complex and confidential matters.

Essential Functions

* Serves as the point of contact for faculty, staff, students, parents, alumni and employers related to Career and Professional Development programs, policies and procedures.
* Composes and maintains correspondence on behalf of the Associate Provost.
* Provides confidential support for Human Resource matters as needed. Prepares memos, personnel requisitions, position descriptions and assists with search committees with record keeping.
* Maintains FMPro database of employers and faculty contacts.
* Interacts on a one-to-one basis by phone or email with internal and external constituents to determine agendas, priorities, and necessary background preparations for the Associate Provost's schedule. Schedule meetings and appointments and maintains multiple calendars on Outlook.
* Acts as direct liaison on behalf of the Associate Provost to campus administrators, faculty, government officials, and employers.
* Establishes travel schedules and itineraries for Career Leadership team. Reconciles all related expenses for the Associate Provost.
* Plans and coordinates campus-wide and employer meetings, workshops, conferences, open house events and visits to UMass by handling registration and the logistics for the events, making travel arrangements for guest speakers and visitors, and serving as point person on the day of the event to ensure that the event runs smoothly and successfully.
* Provides administrative support to the Career Leadership team as assigned.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

* High School diploma (or equivalent).
* Five years or more of experience in coordination of academic or business programs.
* Strong work record of professionalism, competence, and teamwork.
* Proficient computer skills, including Outlook, MSWord, Excel, Powerpoint, and Adobe Acrobat Pro.
* Proficient written communication skills, including proofreading and editing skills.
* Excellent interpersonal and verbal communication skills; ability to deal diplomatically with people at all levels.
* Excellent organizational skills, ability to work on multiple projects simultaneously.
* A high degree of personal integrity and discretion.
* Solid decision-making skills and the ability to exercise good judgment.
* Ability to compile reports, training materials and meeting notes.
* Self-directed, able to take initiative on projects.
* Ability to trouble-shoot problems in a professional manner and work within deadlines.
* Ability to work nights/weekends as necessary.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

* Associate's degree in a field of study related to business administration preferred.
* Previous experience working in career services or human resources preferred.
* Prior experience working in an academic environment preferred.
* Ability to build a positive work environment among colleagues.
* Experience using FMPro preferred.

Work Schedule

Mon-Fri 8:30 am - 5:00 pm (37.5 hours per week)

Salary Information

Grade 13
