Requisition Number: 30493 Job Title: MANAGER (FUNCTIONAL AREA) Working Title: Manager, Institutional Training & Development Salary: $6,084 - $11,916 monthly Job Type: Career Department Name: 3550-CORPORATE FINANCIAL SERVICES Department Website URL: Job Summary Statement: The Manager, Institutional Training & Development (hereinafter "Training Lead") is a crucial, hands-on lead management role that oversees the strategy, development and delivery of an array of training tools, methods and content in alignment with a comprehensive financial system training strategy for UCLA as we prepare the campus and financial user community for the implementation of Ascend. The Ascend project is an enterprise-wide, cross-functional financial system initiative that will transform UCLA's legacy business processes and systems onto modern Oracle Cloud technology (a "Software as a Service" (SaaS) platform). This role will be responsible for working directly with our implementation advisors to develop the core strategies and methods to be used to properly train UCLA's financial end users, faculty, staff and new employees on the current Oracle Cloud functionality and technology. Following the anticipated July 2021 "Go-Live" of Ascend, this position will transition into a new Corporate Financial Services operational support department to lead all of the on-going training and development updates required for existing staff and new employees as new Oracle Cloud system technology and functionality (updated quarterly) is delivered to our campus.


The Training Lead will have primary responsibilities to partner with our implementation partner's Training Lead to execute the overall strategy, plan, design, development, and implementation of a comprehensive, operationally focused financial system training program and related delivery methods. The coordination and collaboration with our implementation partner is a part of the overall "knowledge transfer" strategy being employed throughout the Ascend implementation. The Ascend training program will include, but is not limited to, on-demand/online courses, workshops, webinars, instructor-led training, training materials, open labs, "Learn at Lunch" seminars and related job aids for all future state end users of the Ascend system. The Training Lead will also be responsible for collaborating with campus end users to coordinate and share periodic updates, review best practices, present in public forums to key stakeholders and collaborate with subject matter experts and other project leads to ensure delivery of training programs related to the new financial system and processes at UCLA. Lastly, the Training Lead will also directly and independently provide the vision for the creation of a future state Training department and related training programs which will be part of a larger financial operations support organization that is being developed concurrently for the post go-live operational needs of the financial system and all users throughout UCLA. This future state business unit will be a permanent, post go-live operating entity within Corporate Financial Services. This new Training unit will also provide educational consultation and development guidance to all Corporate Financial Services functional departments as they redesign their organizations to work efficiently with the new ERP after go-live. Demonstrated expertise and/or certifications in Training and Development related methodologies and processes. Ability to present, influence and lead a large, R1 campus (affecting thousands of staff, faculty and students) towards the comprehensive adoption of a new financial management system.


Conduct campus skills and readiness assessments in collaboration with the Implementation Training partner and staff; prepare and execute related training strategy based on assessment data.


Demonstrated expertise with identifying training related "best practices" and application areas. Experience in performing a significant lead role in successfully implementing and/or oversight of the implementation of a comprehensive training program solution within an agreed-upon project timeline and budget.


Ability to collaborate with project workstream leads and subject matter experts to design, develop, and deliver required courses, ensuring organizational readiness at each project phase and managing staff in a matrix project environment.


Ability to lead the design of complex instructional content; align learning outcomes with course design. Manage and review all developed instructional materials, user guides, flow charts, presentations, and diagrams to ensure accuracy and alignment to project goals and desired outcomes; Ability to measure learning outcomes and training surveys to ensure quality and quantity of training experiences.


Manage Training Development Manager and team of Training Developers; Ability to coordinate team efforts across larger Change Management program and objectives. Ability to supervise and motivate colleagues and staff on project goals and tasks; Oversee selection, training, delegation, and performance management of staff assigned to training initiative.


Excellent interpersonal skills to successfully collaborate with a broad range of personnel from all campus departments, including executive management, functional and technical SME's and other campus end users with varying levels of technical and functional knowledge.


Demonstrated experience in effectively managing, directing and coordinating large group training activities and events.


Minimum of 10+ years of progressive responsibility in senior or management level training roles required. Demonstrated acumen for and focus on best practices.


Ability to work independently with self-initiative and minimal daily supervision over long periods of time.


Ability to make focused, effective presentations to key stakeholders, executives and large-scale campus constituent groups.


Ability to convene, lead and facilitate committees or ad hoc work groups as required. Responsible for the management of these work groups to ensure goals are accomplished within projected timelines, milestones and budgets.


Ability to independently set, manage and be flexible to competing priorities; demonstrated ability to handle sensitive/confidential areas; proven ability to manage large concurrent, complex task and project initiatives within current and multi-year timelines.


Ability to interact with Senior Executives and Project Sponsors in order to provide effective, recurring level appropriate updates and progress reports in a timely & concise manner.
