Requisition Number: 29088 Job Title: ADMINISTRATIVE SPECIALIST Working Title: Administrative Support Coordinator Salary: $20.89 - $41.37 hourly Job Type: Contract Department Name: 5310-IAC OPERATING BUDGET Department Website URL: www.iac.ucla.edu Job Summary Statement: Under the supervision of the Management Services Officer (MSO), provide departmental support on all finance, personnel, and administrative matters. Responsible for all phases of Purchasing, accounts payable ordering, travel and entertainment requests. Assist MSO and External Relations & Project Coordinator with events and programs by arranging travel, contacting venues and caterers, attending and supporting activities, and following through to completion. Serve as the UCPath initiator for various employee classes, including staff, academic student employees, postdoctoral scholars and faculty. Make deliveries to various locations on campus as needed. Must be flexible in work hours to ensure for a successful event. Must be able to attend events beyond regular work schedule providing direct and ancillary support. Assist the Vice Provost's special projects as needed. Percentage of Time: 100 Shift Start: 8:00 am Shift End: 5:00 pm Qualifications for Position

Working knowledge of UCPath and TRS. Experience processing hiring paperwork for career/contract employees, work-study, and GSR appointments.

Can be trained

Demonstrated knowledge of social media networks, including but not limited to Facebook and Twitter.

Ability to handle confidential material with discretion

General working knowledge of fund management at UCLA to aid in the compilation of information for reports.

Advanced ability to develop and customize websites using HTML, CSS, ASP.NET, PHP, MySQL, Javascript.

Knowledge of and experience exploring and using Internet technologies (including hosting interfaces such as cPanel), content management systems, usability

issues, and other electronic communication tools.

Detailed knowledge of graphic software: Adobe Master Collection, specifically but not limited to, Photoshop, Illustrator, InDesign, and Dreamweaver.
