Requisition Number: 28272 Job Title: ADMINISTRATIVE SPECIALIST Working Title: Executive Assistant, Career Center Salary: $20.89 - $41.37 hourly Job Type: Career Department Name: 5060-CAREER CENTER Department Website URL: Job Summary Statement: Under the direction of the Assistant Director for Finance and Operations, perform administrative duties, organizational analysis as well as coordinating projects related to publications and marketing. Interpret and analyze information and report outcomes relevant to specific operations and programs. Provide logistical leadership and support for Center-wide activities, including annual Career Week, executive-level meetings, conferences, workshops, and other programs.

Coordinate the Director's activities and ensure the effective and timely completion of work to support the overall operations of the Career Center.

The Executive Assistant provides support to the Career Center Leadership Team, and assisting other members of the team with travel and other processes as needed and approved by supervisor. Percentage of Time: 100 Shift Start: 8:00 am Shift End: 5:00 pm Qualifications for Position

Working knowledge of UCLA's Career Center's mission statement.

Can be trained

Demonstrated ability to verbally communicate using a positive tone and appropriate language. Ability to interact effectively with individuals from various social, cultural, ethnic, and professional backgrounds.

Demonstrated ability to answer telephones in a courteous and professional manner.

Demonstrated writing skills sufficient to draft correspondence that is clear, concise, comprehensible and grammatically correct.

Trained in BruinBuy, Purchasing and Travel systems.

Preferred

Strong computer skills with the ability to use Outlook, Excel, PowerPoint and other programs necessary to carry out job functions, including workflow management programs, organizational chart creation programs, and Box.

Required

Working knowledge of University and UCLA Career Center procedures regarding facilities, safety, emergency response, maintenance, telecommunications, and purchasing.

Can be trained

Ability to lift up to 40 pounds with assistance.

Required

Ability to stand, walk, and climb stairs and ladders in order to assist Career Center users.
