Job Duties
Under the direction of the Staff Human Resources Manager, the Administrative Analyst will be a member of the Staff Human Resources team that provides personnel and payroll services to over 400 staff employees for the Department of Pediatrics. The incumbent will serve as the Staff Recruitment and Human Resources Representative for Department of Pediatrics and will coordinate the recruitment process. Key responsibilities of this position include working with health systems staffing in utilizing contemporary recruiting and sourcing tools such as job boards, social media, resume databases and search engines to identify potential candidates, screen candidates (may assist with interviewing), coordinate reference and background checks, review of hire terms, negotiate offer, and facilitate new hire process. The incumbent will also review recruitment and selection process with the hiring supervisor, advise on writing new job descriptions and/or assist with updating them, and provide recruitment training to supervisors, as needed. This position will also serve as the departmental Benefits Consultant, providing monthly benefit orientations to new hires, and conducting one-on-one benefit consultations, as needed. Other job responsibilities include: assisting Manager with the preparation of new and extended contracts for Staff Physicians, serving as the IT Authorizer for all transactions and requests for access, ordering supplies for the Human Resources office, and maintaining internal Staff HR databases and systems. Job Qualifications
Required: 2+ years experience in HR with an emphasis in recruitment & onboarding. Knowledge of recruitment, screening and interviewing. General knowledge and understanding of various benefit programs. Strong interpersonal skills to develop and maintain cooperative working relationships with staff and faculty. Strong oral and written communication skills to effectively relay information and policies and procedures and to persuade others to follow a specific directive given to them. Writing skills to compose clear, concise, and grammatically correct correspondence, reports, training materials, and job descriptions. Must have skills associated with conducting needs assessment, providing input on candidate selection, problem solving, effective communication and interpersonal skills. Demonstrated skill in analyzing and/or assessing situations, information, or data and make recommendations to address issues or solve problems. Ability to work independently and follow through on assignments. Ability to work under a heavy workload, changing priorities, and constant interruptions. Demonstrated skill in prioritizing duties in relation to their importance and urgency. Typing skills to prepare correspondence, reports, and job descriptions and to perform data entry with speed and accuracy and with attention to detail. Demonstrated skill in operating a personal computer for word processing, email, database management and financial spreadsheets. Knowledge of organization structure and policy regarding accountability in the use of online systems. Preferred: Working knowledge of University purchasing and accounting (Bruinbuy) system and Travel Express system. Working knowledge of University policies and procedures to prepare TSRs, FSRs, Travel vouchers, requisitions and purchase orders. Demonstrated knowledge of the University staff personnel policies and procedures and the ability to effectively utilize personnel manuals as a resource of information. Working knowledge of the University benefits programs and benefit forms processing procedures. Recent experience in navigating through the University Employee Database system. (EDB, Fastrax and QDB).
