Floating to Ann Arbor and Canton sites is required

Saint Joseph Mercy Health System, one of the nation's top health care services providers, spanning five counties in Southeastern Michigan. An opportunity exists for a Patient Service Assistant (PSA II) to join our Radiation Oncology Department.

GENERAL SUMMARY

PSA II transcribes Radiation Oncology physicians' dictations for inclusion in patient medical records, including diagnostic, treatment and follow-up documents describing medical care. Performs general secretarial duties for department, including reception duties and general administrative tasks.

PRIMARY DUTIES AND RESPONSIBILITIES

* Behaves in accordance with Mission, Vision, and Values of Trinity Health System.
* Maintains the confidentiality of information acquired pertaining to patients, physicians, employees and visitors to St. Joseph Mercy Hospital. Discusses patient and hospital information only among appropriate personnel in appropriately private places.
* Maintains good rapport and cooperative relationships. Approaches conflict in a constructive manner. Helps to identify problems, offer solutions, and participate in their resolution.
* Assumes responsibility for performance of job duties in the safest possible manner, to assure personal safety and that of coworkers, and to report all preventable hazards and unsafe practices immediately to management.
* Transcribes physician dictation for progress notes, end of treatment, consultation, re-evaluation, follow-up notes and other correspondence, as needed. Utilizes physician templates for dictation. Prints and copies approved transcription. Distributes and mails correspondence to appropriate physicians and staff.
* Drafts and types correspondence, memos and reports for department staff. Proofreads and edits draft and final copy materials for appropriate and consistent format, accuracy of data, correct punctuation, spelling and grammar.
* Schedules staff meetings, as necessary.
* Assists with distribution of department mail, as necessary.
* Assists with ordering of office and/or medical supplies. Coordinates maintenance and repair of office equipment, as needed.
* Performs receptionist duties. Announces patient arrivals to the appropriate staff. Attends meetings, as requested. Maintains calendars and schedules for supported personnel.
* Answers telephone, screens and prioritizes calls and routes calls appropriately. Takes and relays messages. Receives, greets and screens visitors, patients and/or employees. Ensures patient amenities are available. Notifies appropriate staff and directs visitors and deliveries to appropriate areas.
* Responds to inquiries from hospital personnel regarding departmental services, records and other matters requiring in-depth knowledge operations and procedures. Obtains and relays information on behalf of department staff.
* Operates and maintains departmental computer database systems and data used for quality assurance, statistical reporting and/or other purposes.
* Keeps work and visitor areas clean and well organized.
* Registers patient into department and hospital systems, as needed. Captures demographic, insurance and guarantor information. Ensures proper referral authorization and insurance approval prior to patient visits.
* Schedules appointments for patients or other visitors following established scheduling guidelines and procedures. Gather information from patients/visitors and perform registration and/or processing tasks such as completing related forms and records, and entering information into computerized systems.
* Acquires and manages of patient medical information, medical record and radiographic files. Contacts other departments, physician offices and facilities to gather medical records. Ensures information has been obtained, collated and distributed prior to patient appointments.
* Performs a variety of general clerical duties, such as filing, copying, collating, running errands, assembling and distributing packets, mailings and memos. Also, performs duties and projects specific to the functions and needs of the department.
* Provides cross-coverage for other support positions within the department.

QUALIFICATIONS

* High school diploma or equivalent combination or education and experience. Additional formal clerical and computer training required, medical transcription experience preferred
* Familiarity with clerical support procedures. Knowledge of departmental operations and procedures.
* Accurate typing and data entry skills. Accurate spelling and grammar, and proofreading skills. Strong attention to detail. Knowledge of medical terminology.
* Telephone skills and ability to operate office equipment such as personal computers, copiers, fax machines and printers.
* Able to exercise independent judgment to set work priorities, screen and prioritize calls and visitors appropriately.
* Interpersonal skills to effectively communicate with a wide range of staff, physicians, medical professionals, patients, visitors, and other organizations personnel in order to relay and obtain information. Tact and discretion for dealing with sensitive and confidential information.
* Organizational skills to prioritize multiple tasks, meet deadlines, and adapt quickly to changes and interruptions.
