Job Description

The Project Assistant provides administrative support to assist project coordinators and project managers in the performance of his or her duties and responsibilities related to assigned projects. This position supports communications and information flow between cross-functional departments, projecting a positive organizational image.

Essential Functions of Position:

Responsible for project related correspondence, memos, etc.; creates and maintains information spreadsheets and other documents.

* Organizes, maintains, and updates document and electronic filing systems; retrieves and organizes information from files promptly.


* Schedules appointments and coordinates meetings and activities; maintains departmental calendar.


* Assists the project manager in preparing for meetings; produces meeting documents as needed.


* Answers basic questions concerning project deliverables and schedules.


* Receives and appropriately handles all incoming telephone calls and faxes in a timely and accurate manner; facilitates information flow and action and redirects calls as appropriate.


* Establishes an organized, clean, professional atmosphere for the project manager and clients.


* Performs a variety of administrative duties and special projects as requested by management.


* Other duties, as assigned.



Requirements:

* Ability to interact with all levels of management.


* Ability to work in a fast-paced environment and multitask.


* Excellent oral and written communication skills


* High school graduate or equivalent.


* 3 to 5 years' experience providing administrative support services to management.


* Advanced/Excellent skills with all Microsoft Office products - Microsoft Word, Excel, Access and PowerPoint.


* Ability to consistently meet multiple and often conflicting deadlines.


* Strong interpersonal skills, initiative and flexibility.


* A high degree of independent judgment, discretion, and knowledge of the Company organization, policy, and personnel, enabling the incumbent to work independently under general instructions on a large variety of projects and tasks.

Preferred Qualifications:


* Experience in an engineering or consulting environment is a plus.
