Job Description

Administrative Assistant

Bethesda, MD

This position is responsible for supporting multiple RVPs and DMs. In addition to typical administrative duties including: answering phones, photocopying, and calendar and meeting coordination; the position will assist in coordinating travel, communicating with and supporting the District Managers and stores, and supporting the Department as needed. This position will report directly to the Regional Vice President(s).


* Assists RVPs with various long-term projects, and manages deadlines and deliverables
* Helps with meeting preparation, gathering presentations, photocopying, and mailing materials
* Sets up travel binders and gathers materials for store visits
* Coordinates travel and interview schedules
* Manages expense reporting
* Gather, analyze, interpret data and create reports daily, weekly, and monthly as needed
* Tracks responses from the field for assorted tasks and communications
* Supports RVPs and DMs in various projects as assigned
* Supports District Managers and stores as needed


Minimum Experience, Skills and Education:

* 1-3 years Administrative Assistant experience for director or above
* Proven track record of exceptional confidentiality
* 4 Year college degree
* Advanced Microsoft Office Skills a must
* Ability to plan and manage projects within time constraints, with limited supervision
* A proven track record of supporting and following up with multiple leaders is a plus
* Ability to organize, focus and redirect others so deadlines are met
* Ability to multi-task in a fast-paced environment, takes initiative to learn, strong attention to detail
* Excellent organizational, analytical and grammatical skills
* Excellent communication skills that convey empathy and reinforce open door policy
* Ability to adapt to a constantly changing environment
* Must be able to exercise independent judgment and decision-making skills.
