Job Description

Thornton Tomasetti is seeking a full-time Receptionist/Office Assistant for its San Francisco office reporting to the Office Manager. The ideal candidate for the Receptionist/Office Assistant role will have strong administrative skills with a strong work ethic, superior multi-tasking abilities, ‘can-do’ attitude and great organizational skills.

Thornton Tomasetti provides engineering design, investigation and analysis services to clients worldwide on projects of every size and level of complexity. We are a 100% employee-held organization of 1,200 engineers, architects, and sustainability and support professionals collaborating from offices across the United States and in Asia-Pacific, Europe, Latin America and the Middle East.

Responsibilities
• Support visitors by greeting, welcoming, directing and announcing them appropriately
• Answer, screen and forward any incoming phone calls while providing basic information when needed
• Maintain security by following procedures and controlling access (registering guests on mykastle)
• Receive and sort daily mail/deliveries/couriers
• Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.)
• Monitor stock of kitchen supplies, refrigerator items including milk, half-and-half, soda. Bi-weekly clean-out. Run and unload dishwasher as needed. Wipe down counters in kitchen and café tables, sweep cafe area (as needed).
• Monitor stock of office supplies (paper, ink cartridges, etc.)
• Perform other clerical duties using Microsoft Word, Excel, Outlook, as well as filing, photocopying, collating, scanning large sets of drawings, etc.
• Responsible for meeting and event arrangements (i.e., conference room schedule, lunch ordering, setup/cleanup, etc.)
• Weekly whiteboard walls cleanup
• Input and update information in Salesforce
• Assist Office Manager on Administrative tasks, as needed
• Assist Office Manager in planning and hosting special events, as needed
• Special projects/errands, as needed

Qualifications

Requirements
• 2 years previous administrative experience in an office environment
• Proficient with Microsoft Word, Excel and Outlook
• Excellent written and verbal communication skills
• Salesforce experience a plus
• Deltek experience a plus
• Able to work independently with little supervision
• Ability to organize, multitask, prioritize and work under pressure
