The Graduate School provides strategic leadership for graduate education at The Ohio State University. It fosters quality in graduate education and research by ensuring high standards for 200 plus graduate degree programs and by providing essential services that support the work of approximately 10,000 graduate students, and more than 3,000 faculty and staff. Each of the regular 23 Graduate School staff members contributes both individually and collectively to meeting the mission of the Graduate School. The Graduate School awards roughly 3,200 master's degrees and 700 doctoral degrees on an annual basis. The Office Administrative Associate (OAA) works with the Assistant Director and Director of Graduation Services on the management of the day to day administrative activities associated with the completion of all graduate degree requirements under the purview of the Graduate School including: serves as primary contact for students, staff, and faculty to interpret relevant Graduate School guidelines and resolve issues related to graduation requirements, policies, and procedures; processes applications to graduate and posts degree information on university and Graduate School databases; manages the graduation clearance Excel spreadsheet and processes adds and drops to the graduation list, noting when certain steps in the degree process have been completed; conducts audits of academic records to verify graduation eligibility; meets with students to perform preliminary and final reviews of theses and dissertations for compliance with published formatting guidelines (including working with students to identify and resolve formatting issues); publishes electronic theses and dissertations to OhioLINK, including posting document embargoes as requested; processes applications for candidacy by validating graduate committee membership and auditing academic records, notifies students and programs of issues as they arise; assists the Graduate School Exam Coordinator with processing graduation and examination petitions; communicates commencement information to students and faculty; assists with commencement preparation including the review of all doctoral and master's diplomas for accuracy; attends all graduation rehearsals and the graduation ceremonies (currently held once per semester on a Sunday); assists other areas of the Graduate School as needed; works on special projects as assigned.

Additional Information for Applicants: Pre Employment Screening Requires the successful completion of a background check. Required Qualifications

Six months of experience (600 hours of course work or training) in customer service or communications, including researching, analyzing and interpreting information; three months of experience (300 hours of course work) in budgeting.

Desired Qualifications

Strong written and verbal communication skills; good interpersonal skills and ability to work as a team member; demonstrated proficiency working with Microsoft Office (including word, excel, access, and outlook), and electronic forms. Experience in higher education and support services; demonstrated success in a diverse, student service-oriented environment; knowledge of university and Graduate School policies, procedures, and guidelines; demonstrated ability to meet deadlines and make decisions independently; demonstrated proficiency working with Student Information System (SIS) system.
