Position Summary:

Responsible for planning, directing, and overseeing building operations and facility-related services. The Facilities Manager is often the first point of contact individuals have with the institution, and as such is responsible for providing exceptional customer service and operational support.

Principle Duties:

* Greet students, employees and visitors to The Chicago School promptly and in a professional, polite and respectful manner. This includes in-person, telephone and e-mail interactions. Act as first point of contact to answer general questions and direct individuals with inquiries to related TCSPP campuses, key departments and individuals;
* Communicate facility policies, procedures, rules and regulations to employees, students and guests;
* Maintain vendor relationships;
* Liaison with building management, building engineers, cleaning staff, and contractors on a regular basis;
* Manage projects and supervise/coordinate work of contractors;
* Direct and plan essential central services such as reception, security, building maintenance, mail and IT;
* Schedule and manage student workers as they provide support to the Facilities Manager position. Responsible for the selection, hiring, training, evaluating, and terminating of student workers at the campus or branch;
* Perform routine inspections of the campus and report/follow up on any operational or maintenance issues;
* Ensure the building meets health and safety requirements;
* Plan for the best allocation and utilization of space and resources needed for class instruction, seminars, and events;
* Check that agreed upon work by staff or contractors has been completed satisfactorily and follow up on any deficiencies;
* Respond appropriately to emergencies or urgent issues as they arise (during normal business hours and off-hours as necessary);
* Communicate, train, and implement emergency response plans for campus/branch;
* Assist with setup, breakdown and general rearrangement of furniture within rooms and common areas as needed;
* Respond to work requests from the campus community to resolve facility-related issues in a safe, effective and cost efficient manner (includes performing minor repairs and general maintenance);
* Install white boards, tack boards, signage and pictures throughout the campus upon request;
* Maintain kitchens, mailroom, office supply cabinets, and copier/common areas;
* Maintain and regularly update faculty/staff mailboxes and mail directories;
* Receive, route and deliver outgoing mail. Post and ship postal mail and packages;
* Sort and route incoming mail;
* Assist with office moves, including furniture relocation and setup;
* Create identification cards for faculty, staff and students;
* Assist with general IT requests when needed;
* Responsible for developing the location's facilities department budget and monitoring the expenditures and budget throughout the fiscal year;
* Rent campus or branch rooms to external groups according to college policies and procedures;
* Perform other duties as assigned.

Position Qualifications:

* High school diploma desired, BA/BS preferred;
* Experience with managing day-to-day building operations and overseeing facility-related services preferred;
* Computer skills and knowledge of Microsoft Office including, but not limited to, Word and Excel;
* Experience with database management programs desirable;
* Flexibility to work evenings and weekends, as needed;
* Ability to lift, push, and pull 50 pounds.
* Ability to quickly develop a comprehensive knowledge of all aspects of the institution including areas of responsibility for each department;
* Ability to prioritize, organize and meet deadlines with attention to detail;
* Ability to communicate effectively in both oral and written form with a diverse internal and external audience;
* Evidence of the ability to function as an effective member of a large organization;
* Critical thinking and problem solving skills;
* Project management skills.
