POSITION SUMMARY

Provides support to Terminal Operations through daily terminal balancing in accordance with specified tolerances on multiple product types for both Vinvale and Carson Products Terminals. Responsible for verifying, troubleshooting and accounting for all terminal balancing errors. After investigating and troubleshooting, reports any balancing deviations to management and works with management and SAT- Product Accounting to resolve. Responsible for verifying, recording and reporting customer product volumes to internal accounting and external customers and supervises admin staff and facility vendors.

KEY RESPONSIBILITIES

  • Performs daily check of drivers paperwork, reports/corrects any changes that are created during product delivery to retail stations. Ensures the corrections are submitted to corporate billing for customer account modifications.
  • Prepares and provides daily and MTD (month-to-date) product balancing data to corporate accounting, external shippers and other systems (DTN).
  • Creates gasoline/ethanol transactions and transfers for pipeline and truck deliveries into terminal automation system. Works with Terminal Operations to verify product receipts.
  • Coordinates and prepares Purchase Requisitions and Purchase Orders for Vinvale/Carson Terminals annually and for the South West District when required, as well as cost tracking of purchase orders and invoicing. Creates adhoc Service Purchase Requisitions and Material Requisitions as required.
  • Manages facility service contract vendors such as temporary staffing, building services, outside services and facility supplies.
  • Acts as facilities lead for non-operational groups that are housed at the Vinvale terminal (transport group, transport support, Training dept. and the control center).
  • Provides relief and terminal balancing support for Southwest District Terminal Coordinators at San Diego and Colton.
  • Validates that all Terminal Automation System bill of ladings are correctly recorded and retained.
  • Ensures accuracy of monthly summary volume and quality reports to customers.
  • Works with Terminal Operations to gather and enter pipeline receipts into the Terminal Automation System.
  • Oversees carrier driver initiation, orientation and certification program.
  • Acts as lead in performing terminal administrative duties such as preparing expense reports, meeting materials and presentation development.
  • May be assigned special projects.

EDUCATION & EXPERIENCE

  • Minimum High School diploma or GED.
  • Advanced degree/EDUCATION in business, finance or accounting preferred.
  • Minimum 4 years’ experience in administrative/accounting support role required.
  • Proficient in Excel, MS Work, Outlook and PowerPoint
  • Supervisory experience preferred
