Job Description

Reporting to the department manager, this position coordinates the department's clerical operations and serves as a liaison to other departments. Answer telephone and e-mail messages within twenty-four hours to ensure timely resolution of problems. Participates in the interpretation of University policies and procedures. As required, perform other office coordination and or clerical support functions following established university policy, procedures, and department guidelines.

Incumbent will be responsible for scheduling surgical procedures in the operating and Neuro Interventional Suite; Coordinates requests for the surgeon's implant devices with vendors and arranges for neuromonitoring in cooperation with the OR; Track and monitor authorizations for surgery ensuring denials or peer to peer events are done in a timely manner preventing the cancelling or postponing of surgery; Arrange preadmission testing and other examinations. Track no shows and reschedule patients so surgical cases are not postponed whenever possible; Track and gather results ensuring complete charts prior to surgery; Assist the surgeons and other providers during clinic operations, interacting with patients and families to schedule surgical dates; Arranges for surgical clearance with outside consultants; Provide educational information and instructions to patients on testing, surgical procedures and preparations for surgery; Answers telephone and email messages within 24 hours to ensure timely resolution of problem accounts; Follows up with other departments to resolve incomplete or problem situations; Maintains interpersonal contact and communication with students, parents, employees, other University Departments; Ensures that filing is performed timely and accurately; Fills in as receptionist or administrative assistant as needed, answer questions via telephone and face to face contact; Provides prompt customer service to students, parents, employees, and other University Departments; Provides accurate information to students, parents, employees, and other University Departments; Participation in the interpretation of policy and procedures; Performs other duties as assigned.

Education and Experience: At least five years of related experience required. An equivalent combination of education and experience may be considered.

Required Skills and Abilities:

* Experience with Microsoft office suite: Access, Word, Excel, PowerPoint and Outlook.
* Excellent communication skills with the ability to interact with a diverse group of students, staff, and faculty.
* Proficiency in Microsoft Office including word processing, transcription, editing, mailing and e-mail management.
* Demonstrated ability to make travel arrangements and prepare travel and expense reports.
* Demonstrated ability to manage a physician's calendar.
* Ability to work overtime


* Bi-lingual (English, Spanish)
* Previous experience in surgical outpatient practice and surgical scheduling highly desirable.
