Job Description

Support department director/site head and anticipate department needs to ensure the smooth and efficient flow of day-to-day operations in the Clinical Supply Chain Operations (CSCO) department of 70+ employees;

Proactive maintenance of daily calendar(s) as directed and coordinates all materials needed for daily activities;

Management of designated inbox and management of routine responses as appropriate;

Provide general administrative duties such as filing, preparing of correspondence and other activities required to support function;

Facilitate on-boarding and off-boarding of permanent and temporary packaging and warehouse employees using corporate applications while coordinating with various other departments (i.e., coordinate office moves with Facilities Dept. and IS Dept.; new hire interviews with HR Dept. in PA & NJ);

Maintain list of CSCO temporary personnel, phone list for all personnel and all distribution lists.

Organize on-site meetings electronically; coordinate off-site meetings including international locations; book travel arrangements for various staff members using corporate software or travel agency for our offices in Great Valley and France;

Manage visitor list;

Manage Sharepoint calendar;

Maintain all site-wide communications for GV;

Coordinate site-wide activities, including meetings, vendors and other outside guests, securing all necessary approvals, and any other site-wide event;

Manage department requests for office maintenance and housekeeping using corporate software;

Manage e-shopping for office needs and catering through internet-based system, as well as corporate printing office in BW and GV facilities for vending/kitchen issues;

Manage and set up VTCs using current VTC software, working with IT department to ensure successful VTC meetings;

Maintain/coordinate vacation, out of office and hoteling schedules; and

Other duties as necessary.

Excellent organizational, interpersonal, and communication skills.

Must be detailed oriented and able to handle various tasks.

Must be flexible with work schedule and with overtime when necessary.

Ability to manage projects independently, as well as coordinate with other team members and be a team player

Must be able to manage confidential information

Microsoft Office Suite (Outlook , Word, PowerPoint, Excel) at a minimum
