Job Description

Primary Responsibilities: Primary responsibility is to conduct new, resale and co-occupant registrations as well as maintaining a high level of positive and congenial resident care and atmosphere at all times. Receives all visitors in Palmetto Commons and routes them accordingly using exceptional customer service skills. Ensures that all services provided are conducted and fulfilled in a manner consistent with the goals and objectives of Sun City Hilton Head. Skill Requirements: -A minimum of 2 years customer service experience. -Excellent written and oral communications skills -Highly effective interpersonal skills, problem solving abilities, and advanced communication skills. -Proven capability of working within a complex structured organization. -Microsoft Office to include Word, Excel, PowerPoint, etc. Duties and Responsibilities -Hostess to all visitors entering Palmetto Commons building. -Updates and maintains Resident Information in Jonas database. -Maintains working knowledge of Community Rules, CC&Rs and Board of Director policies. -Assist Community Standards Manager with neighborhood and Board of Director elections. -Conducts new, resale and co-occupant registrations in a timely manner not to exceed 30 minutes. -Correctly identifies resident issues and provides correct information. -Prepare and submit department staff monies received to Accounting. -Administers Activity cards. -Administers Barcode/Decals to residents as well as associates. -Schedules appointments for New/Resale/Renter orientations. -Reads and interprets Conveyance Documents (Warranty deeds, Trusts, etc.) -Registers New Homeowners/Renters. -Maintains renter reports. -Maintains welcome packets. -Performs fax services for residents. -Answers phone and provides excellent customer service to Residents, answers and returns phone calls from voicemails. -Distributes mail. -Assembles renter and new homeowner folders. -Maintains forms in kiosk and file cabinets. -Answers minor Accounting questions via Jonas. -Directs Community Standards traffic. -Other duties as assigned. Physical Requirements -Capable of working extended hours, to include evenings, weekends and holidays as necessary. -Able to see well enough to read faint or partially obscured writing or printing, with corrective lenses if needed. -Must be able to speak English in a clear and understandable voice so that various types of communications may be conducted with people of various levels of education and capabilities, to include the exchange and receipt of information over the telephone. -Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying and moving objects that can weigh up to 25 lbs. This movement can occur throughout the day. Must also be able to climb several flights of stairs if necessary. -This position will alternate between working indoors in a controlled climate and with proper lighting, to an outdoors setting with variable climate and lighting. -Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills. -Must have finger dexterity for typing/using a keyboard. Environmental Requirements -Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances. For safety reasons, employee must remain alert to working conditions and aware of safety, health, and environmental concerns. -Must be able to work effectively and cheerfully in an environment which may be stressful due to adversarial situations resulting from the proper performance of duties.
