Job Description

Reporting to the Regional Administrative Manager, the Regional Administrative Coordinator is responsible for office administration and support functions, including the following:

Finance - Monitoring and reporting of the regional operational budget, inclusive of administrative supports and direct service dollars; investigating and resolving regional payment problems.

Contracts/Procurement - Managing regional office procurements including proposal development, proposal reviews, contract negotiations, preparation of contract documents and data entry forms; ongoing monitoring of contract utilization; and occasional technical assistance to providers.

Facilities- Managing and coordinating of regional office facility responsibilities, including inventory, telecommunications, equipment maintenance and general office issues.

Personnel - Responsible for the oversight of all personnel functions for the regional office staff including timekeeping, completion of hiring, promotional and termination packages for all staff; the processing of all overtime and comp time requests. Work in consultation and cooperation with the Children, Youth and Families Human Resources staff, including the Civil Rights Manager, to ensure that personnel transactions and processes are consistent with the standard operating procedures and all applicable employment law.

Continuous Quality Improvement (CQI) - Develop, Prepare and Analyze data reports used to monitor achievement of agency goals at the Area Office, Cluster, Unit, and Social Worker levels. Facilitate CQI forums in area offices. Train staff to use data to monitor achievement of agency and client goals.

Other -

* Work in partnership with Area Administrative managers.
* Communicate with central office administration and finance.
* Supervision of support staff.
* Special Projects as assigned.
* Travel amongst the Area Offices, Regional Office, and Central Office sites required.


* Ability to effectively utilize PC software, including Microsoft Office Products, especially MS-Excel;
* Ability to work effectively with linguistically and culturally diverse populations;
* Strong organizational skills.

Applicants must have at least (A) five years of full-time, or equivalent part-time, professional, administrative, supervisory or managerial experience in business administration, business management, public administration, financial management, or professional experience in a particular specialty (i.e. scientific, professional, or technical), and (B) of which three years must have been in a supervisory or managerial capacity, or (C) any equivalent combination of the required experience and the substitutions below.

Incumbents may be required to have a current and valid motor vehicle driver's license at a class level specific to assignment.


I. A Bachelor's or higher degree with a major in business administration, business management, public administration, financial management, or degree related directly to the specialty may be substituted for one year of the required (A) experience.

II. A Graduate or higher degree with a major in business administration, business management, public administration, financial management, or degree related directly to the specialty may be substituted for two years of the required (A) experience.
