Job Description

This recruitment is open to Alaska residents only.

The Department of Commerce, Community and Economic Development

Regulatory Commission of Alaska has an opening for a Law Office Assistant I (LOA I) in the Commission Section.

The Law Office Assistant I provides a broad range of legal and administrative support to Commissioners and the Administrative Law section. The incumbent processes draft Orders for final issuance including edits, preparation of service lists and mail certification. The incumbent also receives and processes transcripts, updates the agency database, prepares Public Meeting notices, and commissioner hearing binders. The incumbent prepares the hearing room for hearings and meetings, maintains the confidential filings log and the document vault, distributes mail and filings to commissioners, and arranges commissioner and administrative law judge travel.

Duties of this position include but are not limited to:

* Formatting and finalizing commission orders for final issuance;
* Logging, maintaining, and retrieving confidential documents;
* Preparing travel arrangements;
* Creating and updating agendas;
* Assisting in preparation of hearing rooms for hearings and public meetings and ensuring that equipment required by counsel is available;
* Making arrangements for telephonic hearing participation as requested;
* Processing and maintaining hearing transcripts;
* Ensuring legal publications are updated;
* Publishing documents to agency and state websites for public access; and
* Maintenance of databases and agency calendars.

* Demonstrated experience proofreading and incorporating edits to comply with formatting, grammar, and punctuation standards;

* Experience and proficiency with Microsoft Office applications, Adobe Acrobat, and databases or case management systems;
* Ability to multi-task, prioritize workloads, and meet competing deadlines under pressure and with time constraints;
* Ability to communicate effectively with a wide range of personalities and cultural backgrounds, both orally and in writing;
* Strong organizational and administrative skills;
* Experience in publishing documents to the web using web publishing tools and electronic forms of communication;
* Ability and experience working in a team setting;
* Knowledge and skills of operating standard office equipment including but not limited to copiers, scanners, printers, fax, and desktop computer; and
* Ability and willingness to learn and become proficient in the application of new and changing office technologies and procedures.

One year of experience that includes clerical tasks (such as preparing correspondence or reports, filing, entering data, receiving payments, or maintaining logs) and frequent contacts requiring professionalism (such as with clients, professionals, business representatives, managers, etc.).

Substitutions:

Post-secondary education from an accredited college may substitute for the required experience (3 semester hours/4 quarter hours equal one month).

Vocational-Technical Certification in a business support career area (such as administrative office technology, business and marketing management, entrepreneurship, office assistant, etc.) or legal support career area (such as paralegal, legal assistant, legal secretary, criminal justice, etc.) may substitute for the required experience.

Special Note:

Most positions require incumbents to be able to obtain a Notary Public Bond and to be able to pass a criminal background check to meet security requirements for using criminal record networks such as APSIN and NCIC/NLETS. If this requirement is present, it will be stated in the vacancy announcement.

Some positions are required to work regular overtime on weekends and/or holidays to provide support to the assigned duty attorney. If this requirement is present, it will be stated in the vacancy announcement and in the Position Description.Documents to be Attached to the Application:
