AdministrativeManager for Stanford Artificial Intelligence Lab (SAIL)

Pay Grade, H, 100%FTE, Exempt, Continuing

The Stanford Artificial Intelligence Lab (SAIL) in the Department of Computer Science (CS) in the School of Engineering seeks an Administrative Manager to join its team. The Administrative Manager will support SAIL faculty and the SAIL faculty director. He/she will report, however, to the CS department manager.


Job Purpose

TheSAIL group in the CS Department at Stanford is comprised of 16 CS faculty andtheir students, research and administrative staff, post-docs and visitingscholars. The role of the SAILadministrative manager is to manage the day-to-day operations of the researchgroup's administrative staff; manage non-sponsored financial accounts and advisethe SAIL faculty director on financial matters, coordinate tour, media andpublication requests, assist with office and lab space assignments and assistor oversee activities related to large programs like the SAIL-Toyota Center.

Core Duties*

* Supervise andtrain five administrative associates who support faculty. Oversee quality of work, load balancing,training and hiring, resolving issues that are beyond routine daily problemsand be the backup contact person when an administrative associate is inaccessible. Approve administrative associate, non-studenttemporary employee and hourly student timecards.
* Organize andmanage research group visits and events (eg., media requests, lab tours,conferences)
* Maintain SAILgroup website and group publications.
* Assist the FacultySpace Coordinator with the assignment of office and lab space to faculty,students, staff and guests for the 1A and 2A areas of the Gates building. Coordinate office moves and maintenance ofoffice and lab spaces with the Gates building facilities team.
* Advise SAILfaculty director on the best uses for resources and funds, projecting endowmentpayout rates, recommending processes for selecting fellowship recipients,stewarding funds and reporting to donors and affiliate partners as needed.
* Approve SAIL grouppurchases and financial transactions. Review equipment needs and upgrade/modify as appropriate. Coordinate proposals for equipment grants,maintenance agreements, etc.
* Advise faculty onStanford policies and procedures. Implement processes to ensure compliance withfinancial, health & safety, personnel policies.
* As needed,organize review workshops and meetings, produce summaries of research and brochures,maintain contact with sponsors, and coordinate company visitors for affiliateprograms.
* Position required to work during normal business hours(8am to 5pm) with occasional evening and weekend work as needed.
* Some limited travel may be necessary for special off-siteconferences or events.
* Other duties may also be assigned


Education & Experience:

* Bachelors degreeor equivalent experience and 3-5 yrs related work experience required.
* Experience working in higher education with faculty andsponsored research preferred.

Knowledge, Skills and Abilities:

* Ideally thecandidate should possess a thorough understanding of Stanford's administrativeand financial policies and procedures.
* Familiarity with facultyresearch and teaching-related administrative issues.
* Knowledge offinancial analysis, reporting, and forecasting necessary. Knowledge of Oracle aplus.
* Knowledge of webauthoring software (eg. Word Press, Drupal, etc) a plus.
* Provencommunication skills (written and oral)
* Strongorganizational and client service skills, including time management as well asability to clearly and concisely articulate problems and develop solutions withdiplomacy and tact
* Proven ability towork accurately with attention to detail and also with frequent interruptions.
* Ability toanalyze, interpret and apply policies and regulations within the context offaculty research and teaching; ability to diagnose and recommend solutionsusing sound judgment and decision-making;
* Demonstratedability to accurately identify and resolve problems.
* Management/supervisory experience required.
* Proficient in use of online administrative applications includingExcel, Word, email and calendaring packages, web authoring software and googledocs.

* Constantly perform desk-based computer tasks.
* Frequently stand/walk, sitting, grasp lightly/fine manipulation.
* Occasionally use a telephone.
