Join our team as an Executive Administrative Assistant, supporting the Legal & Compliance group for Sonova US Corporate Services. Working in a fast-paced environment, you will provide executive support to the General Counsel, two Associate General Counsel and the Compliance Manager. The successful candidate has the ability to build and maintain relationships with various internal stakeholders, adapts well to change and brings 5 years' experience in a legal administrative role.

Sonova US Corporate Services LLC, headquartered in Warrenville, IL, was founded in 2014 and is the US shared services division of Sonova, providing support and guidance to our US group companies.

Tasks & Responsibilities

* Provide executive administrative and paralegal support to General Counsel, two Associate General Counsel and the Compliance Manager
* Support the Tax department by working closely with Tax professionals regarding corporate record keeping and related regulatory filings.
* Coordinate and manage travel, hotel & related expenses.
* Maintain corporate records and respond to requests for corporate records, prepare corporate resolutions, complete applications for business licenses and related annual corporate filings.
* Administration of legal and tax bills for outside law and consulting firms including tracking bills, arranging for payment and responding to internal and external follow-up inquiries related to Legal and Tax departmental expenses.
* Manage and organize Legal department and Compliance function electronic files including organizing and maintaining accurate records and processes to store and retrieve files.
* Provide litigation support by gathering and organizing documents responsive to subpoenas and discovery requests, litigation hold requests, pleadings and related activities.
* Assist with the mailing and filing of tax returns, tax notices and tax payments to various jurisdictions, including the scanning and filing of all submitted documentation.


* 5 years' experience in a legal administrative role, providing executive-level administrative assistance to attorneys
* Excellent written and verbal communication skills
* Ability to meet tight deadlines
* Experience preparing business correspondence (creating/revising/redlining contracts and presentations)
* High school diploma (Bachelor's degree preferred)
