Job Description

POSITION SUMMARY:

The Assistant Events Manager, under the direction of the Events Manager, is responsible for performing a wide range of difficult-to-complex administrative activities related to Events Management, Scheduling, cash management, policies and procedures, marketing and promotion of events, programs and services, staffing and personnel operations, and discretionary activities that serve to support effective business operations.

ESSENTIAL FUNCTIONS: (includes, but is not limited to, the following)

* Develops, promotes and coordinates programs and events, including logistical requirements.
* Develops birthday parties and functions including packages, forms, payments, communication process with staff and customers including logistics.
* Participates in the development and implementation of Events Management, scheduling and cash management, merchandise/service plans, goals, objectives, policies and procedures.
* Monitors building schedules to ensure quality customer service throughout the facility.
* Processes facility space requests forms into scheduling software and makes adjustments to customer schedules and fees according to established policy.
* Prepares and reviews client contracts to administer payments and scheduling, customer logs, invoices, adjustments and account status.
* Prepares requisitions and orders paperwork for equipment, supplies and documents.
* Prepares and posts facility signage for closures, notices, etc.
* Assists with reconciliation, bad debt, outstanding debt and default collections.
* Coordinates submission of department staff schedules, updates as needed and distributes.
* Coordinates facility policies and procedures, including updating and distribution.
* Supervises, interviews, hires, and trains team members, approves leave requests, processes payroll, takes disciplinary action, prepares work schedules and assigns duties.
* Prepares department reports and assists with compilation of reports for the facility.
* Assists with development of program and facility advertisements and promotional strategies, including social media and website applications.
* Performs advertising campaign for facility signage including implementation.
* Oversees cash management procedures, reconciliation and deposits to local bank.
* Maintains pop vending machine inventory and oversees cash collection and deposits.
* Processes customer payments and monitors online payments and registrations

ADDITIONAL RESPONSIBILITIES: (includes, but is not limited to, the following)

* Works in other areas of the facility such as Pro Shop, Reception, and Concessions during extremely busy traffic flow throughout the facility as needed.
* Assists facility tenants with retail coverage, deliveries, and customers or with interpretations of facility policies and procedures.
* Oversees all departments during shift to ensure satisfactory performance as needed.
* Prepares and delivers formal presentations before various audiences.
* All other job related duties as assigned.

Immediate peers, peers in other departments, immediate supervisor/manager, managers in other departments, executives, Board of Directors, customers and outside vendors/service providers.

PHYSICAL REQUIREMENTS:

Position medium with lifting of 50 pounds maximum and frequent lifting/carrying up to 25 pounds. Physical factors include constant use of hearing, near/midrange vision, typing; frequent standing, walking, pushing/pulling, use of smell, far/color/field of vision, depth perceptions; occasional sitting, climbing, stooping, kneeling, reaching, manual handling and bending. Working conditions include occasional exposure to weather, extreme heat/cold, wet/humidity, noise, vibration and air quality. Potential hazards include constant client contact, computer and equipment use and occasional exposure to moving mechanical parts, chemicals, insecticides/pesticides and needles/syringes.

REQUIREMENTS:

Education: Bachelor's Degree in Business Administration or related field.

Experience: Minimum of 3 years management experience required. Minimum of 1 year supervisory experience required.

Certification/License: Must be able to obtain CPR and First Aid training within one year of hire. Will be required to undergo and successfully pass a background check. Must maintain a good moral character standing. Will be required to complete and pass pre-employment drug testing. Must have a valid driver's license and be insurable by the Sault Tribe Insurance Department. Must comply with annual driver's license review and insurability standards with the Sault Tribe Insurance Department.

Knowledge, Skills and Abilities: Must have excellent public relation/customer service skills and be able to exhibit friendly and positive attitude and establish and maintain effective communication with co-workers, supervisors and guests. Must have working knowledge and be able to use word processing and spreadsheet and data base software. Must have knowledge of cardiovascular and weight equipment techniques. Must have knowledge of graphic design and effective promotional and marketing strategies. Must have knowledge of public relations and marketing practices. Must be able to use considerable independent judgment within the framework of established policies and objectives in decisions that influence department operations. Must have knowledge of standard contract formats, terminology and administrative processes. Must have knowledge of athletic and fitness-related inventory items. Knowledge of retail inventory management preferred. Knowledge of CPR and First Aid procedures preferred. Knowledge of Point of Sale systems preferred. Must possess interpersonal communication skills necessary to develop rapport in order to motivate individuals. Multi-tasking and prioritizing skills required. Must be able to work with minimal to no supervision. Must maintain confidentiality. Native American preferred.
