HR Services - Hiring Administration Specialist - Oak Ridge, TN (Job Number:430210)


Hiring Administration Specialist Overview:
This position will serve as a member of the Shared Services Center (SSC) Hiring Administration team and is integral to the orchestration and handling of preparedness support for onboarding new hires into the Company The role facilitates resolution of complex inquires, providing subject matter expertise utilizing multiple databases and vendor portals. Resolves escalated customer service delivery issues; recommends and implements solutions to meet service level agreements. Position is in an open working environment with deadline driven issues requiring research and analysis. Overtime may be required at cycles throughout the year.

Detailed Responsibilities:

- Provide guidance on policy, procedure or requirements within program scope
- Case management evaluation of all activities needed to be completed by the New Hire, Recruiter/Staffing Assistant, and Manager.
- Manage and communicate all matters related to the onboarding new hires, Recruiters/Staffing Assistants, and Manager-related activities via multiple channels of communication to ensure pre- board process effectiveness, day 1 readiness & expectations- all with the goal of new hire success via an expected new hire experience.
- Responsible for coordination & handling of all Week 1 New Hire onboarding-related support/activities (forms, Q&A, drug screening, background verification, ensuring of I-9 electronic completion, employee ID generation, records retention, sign-on bonus processing).
- Ensure all processes and documents are completed with adherence with company policies, procedures as well as regulatory /compliance standards.
- Serve as subject matter expert across all onboarding activities to answer ad hoc questions, train or cross-train where needed and act as SME liaison in significant surge hiring efforts.
- Conduct advanced/specialized research which may require more complex analysis of data
- Drive adherence to process documentation
- Identify, recommend and implement work processes centered on customer service and continual process improvement that will yield increased quality or consistency while reducing cycle time Monitor, maintain and report quality assurance, service delivery, and customer satisfaction performance metrics
- Comply with federal/state regulations and Enterprise policies and procedures as well as internal SSC policies and procedures
- Support audit and compliance activities

Required Education / Experience:

- High School with minimum of seven years related experience
- Analytical ability with track record of troubleshooting and problem solving in related subject matter within systems and/or data
- Self-starter that excels in a team oriented environment
- Strong multi- tasking skills with the ability to prioritize work to meet deadlines
- Prefer strong knowledge of service center technology
- Excellent communication skills including the ability to write clearly and succinctly in a variety of communication settings which require skill, tact, persuasion and/or negotiation
- Minimum of intermediate experience with Microsoft office (Word, Excel, PowerPoint; and Access)
- Prior experience with ATS software and/or Oracle/PeopleSoft strongly preferred
