Job Description

What is the opportunity?

Provide support to employees within the San Francisco RBC Capital Markets office.

What will you do?

* Answer and direct all incoming calls
* Answer and screen telephone calls in a courteous and professional manner
* Perform maintenance of staff kitchens, meeting rooms and general areas; maintain overall office cleanliness, and liaising with the office maintenance teams as needed
* Review and sort incoming mail, deliver to appropriate person
* Coordinate meetings (setting up conference calls, scheduling meeting rooms, arranging reservations/catering, etc.)
* Manage resource calendar including scheduling meetings, rooms and appointments.
* Perform other administrative duties including filing, photocopying, faxing
* Provide back-up coverage for senior executives' phone lines
* Assist and escort confidential candidates to interview rooms
* Preform all other duties as assigned in a high volume environment
* Prepare, track and manage expense reports via expense reporting system - this is a high priority
* Act as backup to other department staff members as needed
* Perform other duties or special projects as assigned
* Review and comply with Firm Policies applicable to your business activities
* Escalate operational risk loss events, control deficiencies and risks that you identify to your line manager and the relevant risk and control functions promptly

What do you need to succeed?

* At 1-3 years' experience in a professional office environment
* Bachelors degree preferred, but not required
* Ability to prioritize and manage multiple tasks and projects
* Demonstrated computer skills, with an emphasis on MS office ( Word, Excel and PowerPoint)
* Strong oral and written communication skills
* Excellent interpersonal skills with the ability to establish and maintain strong working relationships at all organizational levels
* Good organization, follow-through, attention to detail and problem solving skills
* Ability to take initiative, function independently, and work in a team
* Maintain the highest standards of professional and ethical conduct with strong oral and written communication skills
* Ability to keep confidential matters to self
* Value and possess strong competency in the following behaviors: Collaboration, Relationship Building, Communication, Integrity and Operating with Diverse and Inclusive Mindset
