About this Opportunity:

Regency Centers is looking for an experienced Executive Assistant/Office Manager to join our Los Angeles, California regional office. The Executive Assistant/Office Manager will provide a variety of diversified and confidential administrative duties for a member of the Operating Committee plus additional officers with national responsibilities in a major hub office to ensure maximum efficiency of daily administrative operations as well as collaboration, productivity, and harmony in the office.

Key Responsibilities:

Provide administrative support to 3 - 4 officers such as, but not limited to, mail/delivery, word processing, filing and records retention, copying, frequent travel arrangements, scheduling appointments, time-sheets, updating professional memberships/licenses, and updating personal electronic devices according to business needs.
Manage office vendors (including our landlord) and contracts, process payments to ensure their proper assembly and distribution, and handle other accounting-related responsibilities on a timely basis such as monthly expense reports, check requests, invoice processing, etc.
Manage and procure office and kitchen supplies and oversee processes (e.g. audio-visual equipment - with the support of IT) to ensure the LA office and 2 - 3 micro offices run smoothly.
Prepare presentations and manage events for high-level business meetings, office-wide corporate meetings (e.g. quarterly business reviews), community service projects, and seasonal holiday parties.
Answer and field incoming telephone calls, interact with high-level personnel, and respond to inquiries from internal colleagues and external customers.
Serve as a liaison to Human Resources to implement Corporate Communications, office-wide updates to the company (e.g. regarding benefits - with HR's assistance), and employee on/off-boarding.
Prepare annual office budgets and monitor variance budget reports so expenses remain in budget. Perform simple analysis of expenses and determine trends.



Associate's Degree in Business Administration, Communications, Office Management or related field
At least five (5) years of experience as an executive assistant/secretary to top management
Advanced level proficiency with Microsoft Office products including MS Word and Outlook, intermediate level proficiency with Power Point and Excel, and e-mail and Internet functionality along with the ability to quickly learn new systems
Be available to assist, occasionally, outside of regular business hours (e.g. help to reschedule cancelled flights)


Bachelor's Degree in Business Administration, Office Management or related field
Prior experience in the commercial real estate industry, specifically in retail

High level of professionalism and integrity; must be trustworthy and able to handle confidential and proprietary information appropriately
Strong attention to detail and organization, with the ability to prioritize and manage time/tasks effectively
Capable of precise verbal and written communication with all levels of internal and external customers, even when under time constraints
Must have good customer and task focus coupled with interpersonal savvy
Must have a high energy level with a positive, upbeat attitude and enjoy interacting with people
Must be proactive and a capable problem-solver, working to anticipate the needs of officers
Able to work at times with minimal supervision in a fast-paced, dynamic, team environment
