Executive Assistant, IT Directors (Program Execution and Strategy & Architecture)
Raytheon IDS - Tewksbury, Andover and Woburn

The Executive Assistant for the Director of IT Program Execution (PE), Director of IT Strategy and Architecture (S&A), and multiple Directors serving as Business Partner Leads to IDS business areas (Business Area VP direct reports), and the leadership and staff of the IT PE team (~260FTE) performs a wide variety of administrative tasks. Primary responsibilities include maintaining calendars, scheduling/coordinating meetings, and coordinating/making travel arrangements, completing and processing expense reports, and generating charts, tables, memorandum reports, presentations, correspondence and other materials, independently and with speed and accuracy. Other duties may include planning morale functions and maintaining and publishing organizational charts, ordering supplies for multiple IT departmental areas, authorizing and maintaining visitor request certifications and escorting personnel within the program area. Additionally, the successful incumbent will generate monthly staffing reports for use by the IDS IT VP & CIO, as well as the entire IDS IT leadership team. This individual will also be capable of being proactive in tracking requests from IT PE for Proprietary Information Agreements, updating organizational charts and email groups, and other routine team coordination administrative tasks. This position will interface with internal/external partners and customers, ensuring all required security procedures are followed. This individual will handle details of confidential and critical nature and collect and prepare information for use in discussions/meetings with senior staff and outside vendors, and will occasionally backfill for other administrative assistants in IT, including for the CIO Executive Admin. This individual will administer IDS IT eRooms (Rshare) pages, including configuration of these pages. Coordinates office equipment upgrade and maintenance as well as functional employee office moves.

Required Skills:
  • At least 8 years Administrative Assistant experience, with excellent customer service skills and intermediate to advanced skills in using Microsoft Office suite, including Excel (pivot tables, formulas, etc.), PowerPoint, email, calendar programs, and other software database and productivity tools. (Education level may affect the required years of experience, i.e. BS degree and 5 years’ experience will be considered)
  • Experience in managing a calendar, scheduling and coordinating meetings, arranging travel, creating expense reports for staff and being able to compile and prepare data reports

Education (including Major):
  • High School diploma or equivalent (G.E.D); some college, vocational courses; an AA degree preferred
