Job Description

This role will support directors of Space Program Ops, Advanced Concepts & Technology Program Ops, and Advanced Manufacturing. The most successful candidate will be team oriented, a strong communicator both verbally and written, possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture. You will work closely with other Executive Assistants within the organization. Understanding basic company organization, working relationships, and business partner roles and responsibilities is important as this position will work closely with other assistants across the business, functional leaders, and finance team, including executive leader interfacing.

The position requires that the candidate possess initiative and be part of a team in a high-energy, dynamic environment, while anticipating problem areas and providing solutions with high attention to detail, and exceptional customer service.

Task expectations include management of incoming calls, emails, projects or requests as appropriate, work at a high level of capability with Microsoft office applications, composing correspondence, assisting in presentations preparation, coordinating and managing travel arrangements, calendar and schedule management, as well as making a positive impact in a team-based environment. The successful candidate must have the ability to handle information of a sensitive and confidential nature. The candidate will exercise professionalism, tact and diplomacy in communications with visitors, media, SAS Executive Staff, SAS employees, and a wide variety of military, international, commercial, and US government personnel.

Key Responsibilities:
  • E-mail/written communication: Check deadlines on incoming requests, process replies demonstrating initiative, compose correspondence/reports, set-up and maintain files associated with the operation of the office.
  • Appointments/Meetings: Maintain calendar; ascertain which events require Director’s presence, ensure time for decision making/desk time, prepare agenda, arrange meeting facilities and any related requirements.
  • Organize, execute, and assist with team activities (staff meeting agendas, all-hands meetings, off-sites, and team social events).
  • Travel: Arrange travel through company agents, prepare itinerary, maintain trip files, and prepare/ process expense reports in a timely manner.
  • Customer Interface: Display proper protocol with customers, including military, international, and US Government personnel, handle registration and visit requests for conferences & customer/consultant/supplier visits, set up meetings as required.
  • Thorough understanding of the corporate planning calendar and how it applies to team deliverables.
  • Track and help drive completion of these key deliverables and follow up on outstanding items.
  • Act as a liaison for the leader’s direct reports.
  • Work closely with the Ops, Advanced Concepts, and Space Systems leadership team, recruiting and other Executive Assistants across the business and Raytheon organizations.

Required Skills:
  • Minimum of 6 years of direct experience in executive level administrative support
  • Prior experience planning, developing, and coordinating multiple projects
  • Experience organizing resources and establishing priorities
  • Successful experience working in a team environment
  • Must have a high level of proficiency with Microsoft office and software tools – to include Outlook, PowerPoint, Word, and Excel, as well as ability to set up Internal Virtual Meetings through Skype and/or VTC
  • U.S. Citizenship status is required as this position will require the ability to access US only data systems.

Desired Skills:
  • Computer savvy with experience in Microsoft Sharepoint, Visio, OneNote, and Adobe Acrobat
  • Experience supporting a leader with direct reports in multiple geographic locations
  • Experience in working in a Fortune 500 company and/or a major defense contractor
  • Self-starter who brings a positive energy to a team environment, experience working autonomously and able to operate with minimal supervision in a highly visible, execution oriented environment
  • Excellent organizational and time management skills
  • Ability to work seamlessly at all levels of the organization and a demonstrated ability to maintain confidentiality and exercise judgment in complex situations.
  • Enthusiastic to learn new tools as and processes as needed, as required by the job
  • Strong communication skills both oral and written (i.e., grammar, spelling, punctuation)

Required Education:
High School Diploma and 6 years of relevant experience

Desired Education:
Bachelor’s degree
