Job Description

Provides principal administrative and secretarial support to ROTHR Virginia Site Managers and to the Facility Security Officer (FSO).

Performs varied clerical and secretarial duties which include but not limited to; compiles and distributes required reports, processes weekly time card reports, picks-up/distributes USPS and overnight mail, makes travel arrangements for site personnel, reviews and assists with expense claims, assists with maintaining updates to Plans, Operating Procedures, CDRL reviews and Master Library inputs, conducts monthly Procurement Card reviews, accesses and approves payments in the Syncada Invoice Manager database, submits non-purchase order payment requests in Dolphin, maintains site bulletin boards, and assists with preparation/execution of employee morale events.

In addition, supports the FSO with related security responsibilities such as visitor control, verifies visitor clearance, ensures escort for required visitors, issues appropriate badges, monitors building security and safety alarm systems responding as required, and coordinates site personnel security badge requirements as necessary. Performs all other related duties as assigned and required.

U.S. Citizenship status is required as this position requires a U.S. Security Clearance.

No relocation is provided. Preference given to local candidates.

Required Skills:

Minimum three (3) years professional administrative experience.

High proficiency using Microsoft Office Suite: Word, Excel, Power Point, and Outlook.

Demonstrated experience planning and organizing schedules and events, to include experience with calendar management, meeting scheduling and coordination, reviewing expense reports for accuracy, scheduling travel, and preparing reports.

Demonstrated experience interacting with senior levels of leadership effectively, and displaying good interpersonal and collaborative skills with all levels of associates and management.

Other Requirements:

U.S. Citizenship is required.

Active and Current U.S. Department of Defense (DoD) Secret Security Clearance.

Ability to lift 25 lbs. in support of mail distribution and collection.

Must have a clean motor vehicle driving record to obtain authorization to drive company vehicles.


Desired Skills:

Competency and working knowledge using the following Software and Tools used to support a Raytheon Program efficiently, including but not limited to: JPAS, DBIDS, SAP/APEX, TravelSmart, WebTE, RTime, Syncada Invoice Manager, Dolphin, and SharePoint.

Demonstrated knowledge of Raytheon Policies and Procedures (Business Travel, Timekeeping, Expense Reporting, etc).

Demonstrated ability to anticipate requirements and actions.

Demonstrated experience handling confidential information with appropriate discretion.

Possess professional presence and phone/reception skills demonstrating professionalism, discretion, and sensitivity.

Demonstrated excellent verbal and written communication skills.

Demonstrated ability to prioritize work within a multi-tasking environment and stay on top of task deadlines and due dates.

Candidate must have good judgment and take initiative to complete tasks in a self-directing manner.

Must be reliable, organized, flexible, detail oriented, and prioritize effectively.

Experience functioning in an environment that requires excellent customer service.

Required Education:

High School Diploma or equivalent.

This position requires a U.S. Person who is eligible to obtain any required Export Authorization.
