Job Description

Raytheon's Intelligence, Information, and Services (IIS), located in Indianapolis, IN, is seeking a proven, high performing administrative professional to fill a key Administrative Specialist role. The opportunity will provide daily and multi-faceted support to the Contracts organization.

The candidate will perform a wide variety of clerical tasks in support of the business. This position is primarily transactional in nature and consists of entry of contract data into a variety of company databases and electronic filing systems. It requires a working knowledge of administrative processes and procedures. The position demands a high degree of autonomy and latitude in planning, organizing, and decision making to fulfill work requirements. The Administrative Specialist (AS) will provide accurate, timely, and efficient aid and assistance to the Contracts department by performing general administrative and other matters. Analyzes and reconciles data; investigates inconsistencies. Determines and communicates impacts to affected individuals, and initiates and takes corrective action. The Administrative Specialist will be responsible for assisting contract administrators with communication of contract requirements to Program Management, Finance, Supply Chain Management, Property, and other internal and external customers, as needed, from pre-award through contract closure. May interface with internal and/or external customers. In this position, the successful candidate will provide support to contracts administrators at the local facility as well remote support to our out of state facilities.

Responsibilities include:
  • Accurately generate charts, tables, emails, reports, correspondence and other materials in a timely manner
  • Coordinate employee engagement meetings
  • Coordinate monthly reports and establish follow-up system to ensure deadlines are met
  • Proactively identify ways to enable greater productivity and efficiency in role

Required Skillset:
  • 6 years related experience
  • Experience reading Contracts
  • Demonstrated proficiency with Microsoft office suite tools (MS Outlook, MS Word, Power Point, Excel)
  • Demonstrated excellent verbal and written communications skills
  • Ability to adapt to changing work requirements and priorities and ability to work proactively by anticipating needs and suggesting assistance to improve productivity
  • Strong organizational skills to effectively prioritize and manage multiple priorities.
  • Strong analytical skills to include strategic thinking, performance and results orientation.
  • Excellent verbal and written communication skills.
  • Strong desire to learn, take on challenges and achieve stretch goals.
  • Ability to work in a fast-paced environment independently and with minimal oversight.
  • Must be self-motivated, quick learner and able to perform efficiently both independently and in a team environment

Desired Skillset:
  • Demonstrated experience interacting with senior levels of leadership effectively
  • Demonstrated experience handling multiple tasks concurrently, prioritizing work, and making quick decisions in a fast-paced environment
  • Knowledge of contractual terms and conditions, including FAR/DFARS.
  • Experience with commercial and/or defense contract management.
  • Knowledge of basic accounting procedures. Knowledge of SAP APEX or other large accounting systems
  • Ability to communicate procedures and processes to management, co-workers, and provide guidance on pertinent changes to business functions and operations
  • General knowledge and understanding of contract and/or subcontract administration including contract types, delivery terms and data deliverables requirements
High School Degree or equivalent.
