Job Description

Come join Raytheon’s team in St. Petersburg, FL!

We are looking for an Executive Assistant to support the St. Petersburg site as well as the Site Executive and Cooperative Engagement Capability (CEC) Portfolio Director. This position will be responsible for managing site-wide activities and communications as well as providing direct administrative support to the Site Director.

The team is based in St. Pete, enviably nicknamed “Sunshine City” for its average of 248 days of sunshine a year. It actually holds a Guinness World Record for the most consecutive days of sunshine! The area is ideal for fishing, boating and its beautiful beaches. It’s also known for its art and culture scene, as well as its wide variety of local restaurants and bars. Sports fans should note that St. Pete is home to the Tampa Bay Rays, Buccaneers, and Lightning. It’s also the Spring Training site for the Toronto Blue Jays and the Philadelphia Phillies.

Easily commutable from several nearby cities, just 5 miles off the main highway (Interstate 275), options for where to call “home” are plentiful. St. Pete is conveniently close the Tampa International Airport and only a mere 2-hour drive to Disney World and Universal Studios.

Responsibilities:
  • Setting up and maintaining records
  • Handling office administrative tasks in a timely manner and managing the leader’s calendar and referrals
  • Screening calls and emails to assist the leader in effectively managing time, dates, commitments, and schedules
  • Arranging appointments and conferences
  • Reviewing and monitoring assigned budgets (Achievement Awards, office supplies, etc.) to ensure leader is aware of transactions and budget constraints
  • Responding to questions related to site operations, office management and administrative processes in support of the business/program leadership
  • May assist in directing work, assigning, and outlining tasks at the leader’s request
  • Utilizing office software applications and other office tools and equipment according to business need; charts, and presentations to include inter-office correspondence and emails
  • Edit and process final documents for appropriate grammar and syntax
  • Managing all logistics and coordination for customer visits, executive level visits, Road Shows, All-Hands Meeting, Skip Level Meetings, etc.
  • Managing site communications, maintaining site mailing list
  • Supporting and handling logistics of employee morale and wellness events
  • Helping with emergency preparedness and business continuity planning

Basic Qualifications:

A minimum of six years professional administrative assistant experience

Required education: High school, secondary school or equivalent

Must be able to obtain a Secret security clearance

Desired Qualifications:

Knowledge of Raytheon's business

Demonstrated experience with the following Software and Tools used for managing an executive office efficiently (including but not limited to):


oMicrosoft office suite tools (MS Word, Power Point, Excel),

o APEX Time Recording

o International Travel Approval and Tracking System (ITATS)

o Raytheon Security visitor request/registration systems

o Expense Reporting System

o Internet search engines

Demonstrated experience with calendar management, meeting scheduling and coordination, creating expense reports, and being able to compile and prepare data reports.

Demonstrated experience in planning and coordinating complex international travel

Demonstrated experience planning and organizing schedules and events

Demonstrated knowledge of Raytheon Policies and Procedures (Business Travel, Business Courtesies, etc.)

Demonstrated experience interacting with senior levels of leadership effectively

Demonstrated experience handling multiple tasks concurrently and making quick decisions in a fast-paced environment
