Job Description

Executive Assistant to the Vice President of Contracts and the LWS and ICO Contracts teams. Duties include preparation of complex reports and documents, coordination with the RMS LT and Corporate office, planning travel, telephone reception, preparation of expense reports, scheduling meetings (including All-Hands, Gate 4’s and Skip Level lunches) and making necessary arrangements including, but not limited to scheduling conference rooms, arranging catering and processing visitor badges. This role includes ordering and maintaining supplies as well as other independent assignments as assigned. This position requires a proven self-starter and resourceful problem solver able to work with minimum supervision.

Responsibilities Include but are not limited to:
  • Manage workflow of multiple issues within a continuously adapting schedule, while remaining aware of the criticality, sensitivity, and confidentiality of issues both internal and external to the Company
  • Perform comprehensive range of direct executive office support
  • Maintain schedule of appointments while prioritizing the level of importance
  • Develop and maintain excellent working relationships and communication channels with other administrative staff
  • Coordinate logistics for large events, meetings, customer and supplier visits, to include conference room reservations, call set-up, catering services, video conferences, and Skype
  • Coordinate materials prior to large meetings and ensure pre-briefs are set up prior to, when appropriate
  • Book international travel, prepare RGEMS, ITAS and request Loaner Laptop
  • Accurately prepare and submit expense statements for the VP, ICO and LWS personnel in a timely manner
  • Compose reports, correspondence, PowerPoint presentations, and memorandums. Review drafts and finished documents to assure accuracy
  • Proactively identify ways to enable greater productivity and efficiency in support of the Organization
  • Consistently demonstrate a high degree of professionalism
  • Provide learning and social meetings for the Contracts Administrative Assistants
  • Ability and willingness to support the other Executive Assistant Sr’s when out of the office, and general coverage when needed
Required Skills:
  • Must have at least eight (8) years relevant experience
  • Excellent communication skills, oral and written communication (i.e. writing, spelling, grammar and punctuation)
  • Demonstrate excellent attention to detail, ability to work independently with minimal supervision, and adapt to changes in priorities in a fast-paced environment
  • Experience reviewing multiple reference sources, selecting and compiling data for reports and other forms of correspondence
  • Highly proficient with Microsoft Outlook, Word, Power Point, Excel, electronic collaboration tools including Skype, and video conferences
  • Experience managing multiple calendars, meeting scheduling and coordination, planning events, expense reports, and data reports
  • Respond to occasional demands for support outside of regular business hours.
  • Ability to obtain DOD Secret clearance.

  • Experience in SNOW, CAFM, Rstars, Rspace, Rshare, WebTE and TravelSmart
  • Ability to understand and comply with Raytheon policies and procedures and Security functions
  • Expertise in MeetingSmart, VRS Systems, Shipping Smart
  • Coordinate Employee On Boarding and Off Boarding with Hiring Manager, which includes launching checklists to supervisors and ambassadors with assigned tasks to ensure smooth transition and ordering assets in timely manner
  • Maintaining office supplies, employee supplies and ordering supplies as needed via SRM system
  • Must be comfortable with working on mobile devices and using this technology for increasing productivity
  • Active DOD Secret clearance preferred.

Required Education (including Major):
  • High School diploma or higher is required

This position requires either a U.S. Person or a Non-U.S. Person who is eligible to obtain any required Export Authorization.
