Job Description

The ESSM (Evolved Sea Sparrow Missile) Program located in Tucson, AZ, at Missile Systems is seeking to hire an Executive Administrative Assistant. This position will support the members of the ESSM program. In collaboration with Executive Assistant Lead, the position will oversee and administer the day-to-day activities for the leadership team of the ESSM Program Management Office and support seamless execution with the program staff. This position will require the ability to act independently, prioritize multiple tasks, and anticipate the needs of the program leaders including, geographically dispersed program managers and performing various tasks specific to office activities. In addition, this person must have the ability to exercise discretion to handle and protect sensitive and confidential information.

  • Serve as liaison between program leadership and other staff members within the program, product line and other locations
  • Manage workflow for designated program managers to include: maintaining schedule of appointments and prioritize level of importance; answer questions and resolve concerns, answering telephone calls and managing messages; plan domestic and international travel; prepare expense statements; and perform various tasks specific to office activities
  • Plan and coordinate major events, meetings, customer and supplier visits to include security and badging, conference room reservations, teleconferencing, catering services and video conference
  • Promote and sustain a favorable company image while interacting with visitors and customers. This includes an executive presence at all times and effective communication with leadership, customers, suppliers, and visitors
  • Work with building Environment Health, Safety & Sustainability (EHSS) Council and Program Security Manager
  • Initiates facilities requests and interfacing with the facilities organization
  • Understand and comply with Raytheon policies and procedures and security in day to day activities
  • Special assignments such as arranging business luncheons, dinners, and employee morale functions

Required Skills:
  • High School diploma and 6 years of administrative work experience
  • Excellent communication skills, oral and written communication
  • Attention to detail, works independently with minimal supervision, adapt to changes in priorities in a fast paced environment, provide solutions to complex problems, be able to multi-task and coordinated with multiple programs and administrative assistants.
  • Highly proficient in the use of Microsoft Outlook and Microsoft Office tools including; PowerPoint, Word, Excel, processes and procedures
  • Proven success working in a team environment with exceptional people skills
  • Must demonstrate high degree of professionalism in behavior and manner
  • Provides support for multiple locations within the RMS Tucson location and work overtime when required
  • Knowledge and experience with WEB TE, Visitor Registration System (VRS), CAFM, Remedy, Facilities Service Request, RAYTRAK, and Staples

Clearance Type:
  • Existing Secret Clearance required with the ability to obtain additional clearances and accesses as required.

Desired Skills:
  • Previous program office experience and at least 2 years of Raytheon administrative experience
  • Proactive, flexible and demonstrate initiative
  • Strong interpersonal skills
  • Knowledge of US government export-import regulations and associated Raytheon policies/procedures
  • Proficient in use of security clearance transfer systems to external customers, supplier and test facilities
  • Familiarity with Raytheon company policies, procedures, forms and processes
  • Proficiency with the Raytheon Proprietary Awards and Recognition System, Visitor Request System and PRISM (for international shipping requests)


Required Education:
  • High School Diploma, higher education preferred

Position requires U.S. citizenship for purposes of obtaining clearances. Additional clearances may also be required from the DoD.

This position requires the eligibility to obtain a security clearance. Non-US citizens may not be eligible to obtain a security clearance. The Defense Industrial Security Clearance Office (DISCO), an agency of the Department of Defense, handles and adjudicates the security clearance process. Security clearance factors include, but are not limited to, allegiance to the US, foreign influence, foreign preference, criminal conduct, security violations and drug involvement. Employment is contingent on other factors, including, but not limited to, background checks and drug screens.
