Job Description:

The Mechanical Subsystems Engineering Directorate (MSD) is seeking an Executive Administrative Assistant responsible for providing executive level administrative support to the Director and his leadership team. The ideal candidate for this role will possess the ability to act independently with a strong sense of urgency and accountability. This position supports senior leadership with competing demands; thus, it is critical for the person in this role to prioritize multiple tasks, anticipate requests and help manage the needs of the functional leaders. This role will perform a wide range of administrative duties which will include calendar management and scheduling of meetings, prioritization of day to day activities for our Director, expense reports. This position requires a high level of discretion handling and maintaining sensitive company personal information and general assistance to our engineering population.

Responsibilities include, but are not limited to the following:

  • Manage workflow for the Director to include: anticipating time management needs and maintaining schedule of appointments prioritizing level of importance; answer questions and resolve concerns; assist with domestic and international travel plans; prepare expense statements; and perform various tasks specific to the Director and members of his leadership team
  • Ability to promote and sustain a favorable Company image while demonstrating professionalism. This includes an executive presence at all times and effective communication with leadership, customers, suppliers, and visitors
  • Coordinate materials prior to meetings/events and set up pre-briefs/VTCs/Skype Meetings/conference calls as needed
  • Interface with engineering leadership and handle sensitive information with discretion and accuracy
  • Staffing support to include: interview coordination and onboarding of new employees
  • Prepare directorate correspondence, PowerPoint presentations, and memorandums
  • Arrange catering service and conference room reservations for on-site and off-site meetings as required
  • Preparing security clearances and visitor requests
  • Excellent communication skills, oral and written
  • Ability to stay on top of task deadlines and due dates
  • Other duties may be assigned based on the needs of this dynamic organization

Required Experience and Skills:
  • Six (6) years of experience in large organization and/or high visibility administrative roles
  • Strong proficiency in MS Office tools, specifically in PowerPoint and Excel
  • Ability to take direction and execute senior leadership tasks without significant direction
  • Comfortable being the face of senior leadership on day to day execution
  • Comfortable working in a fast paced environment with rapidly changing priorities
  • Ability to engage with peers to resolve issues without conflict
  • Experience in scheduling and meeting coordination, calendar management, travel Experience in scheduling and meeting coordination, calendar management, travel arrangements, and expense reports
  • Highly proficient in organizing data and documents
  • Flexibility and openness to new ideas and ways of accomplishing tasks

Desired Experience and Skills:
  • Eight (8) plus years of experience in large organization and/or high visibility administrative roles
  • Experience using labor forecasting tools and/or manpower planning
  • Self-starter with initiative and independent judgment for assisting management
  • Ability to utilize network to resolve issues and drive to closure
  • Team player who is comfortable operating in a high energy environment
  • Ability to identify problems and propose corrective actions
  • Willingness to learn new skills
  • Ability to think ahead and anticipate challenges
  • Experience working in eRoom, RShare, DocuShare, SAP/APEX, EBP systems, and RCareers
  • Working knowledge of the WebTE online expense reporting systems and FSS policies
  • An Associate's Degree or Bachelor’s Degree is desirable

Required Education:

High School diploma or equivalent
