Job Description

Position: Executive Assistant to support the AMS P73 Program at the Rita Road Facility. Position will initially be 20 hours per week, with some flexibility in scheduling, with hours increasing to full time over the next year as the program expands.

Job Description: Provide administrative and clerical support to employees working a key program.

Duties will include:

• Scheduling and maintaining calendars
• Planning domestic travel, submitting clearance requests, preparing expense reports
• Organizing, executing, and catering program meetings, including large program reviews
• Scheduling, supporting, executing program classified phone calls and meetings
• Answering telephones, taking messages
• Compiling data
• Completion of independent assignments
• Performing various tasks specific to office activities
• Interface/coordinate with Facilities and Security
• Coordinate with and escort employees/contractors for building maintenance, repairs, deliveries, and employee moves
• Preparation of presentations, clean up and formatting of draft presentations
• Position requires minimum supervision

Required Skills: Requires at least 6 years of administrative experience, with at least six months of US government/DoD contractor administrative experience desired. Excellent people skills, good problem solving, organization and multi-tasking skills required. Demonstrates ability to plan a major event, such as major program reviews and activities including numerous customer interactions.

• Extensive knowledge and experience with MS Office applications, to include Outlook.
• Must have the ability to work in a fast-paced office with minimal supervision, have the ability to solve problems, be able to multi-task and coordinated with multiple programs and administrative assistants.
• Ability to work in multiple locations with-in the RMS Tucson location and work overtime when required.

Clearance Type: Must be able to obtain and maintain a US DoD Secret clearance, as well as other clearances/special access that may be required by the program. (Requires US Citizenship.)

Desired Skills:

• Previous management assistant or executive assistant experience supporting a large functional or program office/product line/program experience.
• General office duties including word processing, filing, printing, copying, faxing, and answering telephones.
• Highly skilled in Microsoft Office, including; Outlook, PowerPoint, Word and Excel programs, Raytheon online tools including RTime, Travel, Expense, and VRS applications.
• Preparation of presentations, clean up and formatting of draft presentations
• Understand requirements for classified meetings and phone calls

Active US DoD Secret clearance is preferred.

WEB TE, Visitor Registration System (VRS), CAFM, Remedy, RGEMS, Facilities Service Request, RAYTRAK, Staples, BCARs is desirable.

Required Education: High School diploma or GED required.

Position requires U.S. citizenship for purposes of obtaining clearances. Additional clearances may also be required from the DoD.

This position requires the eligibility to obtain a security clearance. Non-US citizens may not be eligible to obtain a security clearance. The Defense Industrial Security Clearance Office (DISCO), an agency of the Department of Defense, handles and adjudicates the security clearance process. Security clearance factors include, but are not limited to, allegiance to the US, foreign influence, foreign preference, criminal conduct, security violations and drug involvement. Employment is contingent on other factors, including, but not limited to, background checks and drug screens.
