Work Schedule:

Monday - Friday, 8:00 am - 5:00 pm

Indiana University-Purdue University Fort Wayne (IPFW) invites applications for the position of Administrative Assistant for Athletics. This position will provide support to the Director of Athletics and will:

Event Administration/Management:

* Manage events and assist in planning and promotion including receptions, donor events, and banquets; assist with overall plan for events, oversee and coordinate all details such as location, attendees, menu, décor, invitations, staffing, invoices, follow up, and other tasks necessary for event success

* Design and edit text/graphics for website and printed promotional materials for events

* Follow through and prioritize projects with external staff team and function in a fast-paced, changing collegiate athletics environment

* Serve as communication contact for other campus units regarding athletic/sports related information

Clerical Support:

* Data base management and maintenance, correspondence, mailings, distribute mail, maintain office supplies, schedule meetings, provide agendas, and answer and route phone calls)

* Analyze data and documents for accuracy critical to NCAA and Summit League requirements

* Draft and proofread time sensitive documents and correspondence

Donor Communication/Support:

* Create donor correspondence and assist in fulfillment of other measures key to donor needs

* Work with Office of Advancement and community offices to maintain mailing lists and contact information

Other Duties:

* Assist in retrieving and compiling current data and research for presentations

* Provide assistance for staff searches as needed

* Prioritize and manage the Director's schedule, including travel, events, and meetings

* Other duties as assigned


* High school diploma/GED

* Minimum four years administrative and/or event support related experience

* Must be able to take initiative, follow through and prioritize projects

* Ability to make sound judgments, work independently to meet deadlines, and maintain confidentiality

* Demonstrated proficiency in computer applications

* Excellent written and verbal communication, organizational, interpersonal and customer service skills

* Must be detail oriented and possess effective proofreading skills


* College course work or degree

* Experience or knowledge of college athletics environment or event planning

* Familiarity with Microsoft Office, PowerPoint, Excel, Photo Shop and other graphic design elements

Additional Information:
